Reportingto the Director of Group Sales and Director of Catering Sales. This individual is responsible forcoordinating and assisting in the daily operations of the Sales team andprovides direct administrative support and assistance to Sales Managers. In addition this individual handles corporatecatering leads for under 35 people from the sales booking process throughdetailing and execution.

Summary of Responsibilities:
Reporting to the Director of Group Sales, responsibilities and essential job functions include but are not limited to the following:
Monitorlead sources (COP RFP box, Cvent, Starcite, Meetingpath, Leadlink, OperaS&C, etc) and distribute leads to appropriate Group or Catering SalesManagers to assure they are in touch with the client within one hour ofreceipt.
Assist inmaintaining an accurate client and account database in Opera and adherence toall Accor Opera system standards.
Provideadministrative support to specified Sales Managers to include merging proposalletters and letters of agreement, distribution, trade show preparation, famtrip arrangements, expense report processing and other required tasks.
Preview siterooms and coordinate any other site inspection related tasks.
Conduct “shopcalls” to competitive hotels to gain current market availability and rateinformation as requested.
Assist Managerswith the inputting of VIP amenities into Royal Service for designated guests,Luxury Travel Agency guests and Fairmont Famous agents. Delivery of note cards to the properdepartment to accompany amenity.
Management ofthe inquiries for all corporate catering events under 35 people includingproposals, contracting, banquet event orders, billing, and other logisticmanagement.
Back up managementof the direct sales efforts on all social room block inquires excluding inhouse wedding needs.
Assist with prospectingefforts as delegated to continue to build pipeline of business opportunitiesfor hotel and achieve monthly established targets. Prospecting efforts to primarily be telephonebased with potential for participation in market blitzes or other local tradeshows or client networking events.
Develop skillsfor enhanced knowledge including conducting site inspections for walk-inappointments and as necessary for social blocks and catering events managing.
Havea complete knowledge of hotel services and accommodations.
Participate inhotel and sales training programs when applicable.
Assist withmonth end reports.
Maintaincurrent sales and promotion literature.
Ensureprompt and courteous service is extended to both internal and externalcustomers.
Crosstrain in other coordinator roles to assist as necessary.
Assistin training coordinator peers on job duties to develop good cross trained team.
Goodcommunication skills with team including necessary supply ordering.
Inputlead into myRPMS as directed by Sales Manager and load into Opera S&C asnecessary.
- Previous experience is an asset
- Collegedegree or diploma in Hotel/Restaurant Management an asset.
