
Description
Responsible and accountable for the coordination of the daily operational and clinical activities performed by the central supply/sterile processing staff, surgical team assistants, supply chain staff and the surgical technologists. In conjunction with the Clinical Coordinator and Surgery Center Leadership, participates in personnel selection, orientation/training, scheduling, development/mentoring, performance appraisals, coaching and counseling, disciplinary actions, patient/resident care delivery, physician relationships, intradepartmental and interdepartmental activities, quality control and process improvement activities, regulatory compliance and fiscal control. Participates in the development of policies and procedures. Responsibilities include but are not limited to working closely with the Clinical Coordinator to ensure seamless flow within the department. Provides sterile processing (Steam, Sterrad, Steris) education for new staff and College of Technology students. Acts as a liaison between Billings Clinic Surgery Center and the College of Technology surgical technology students.
Essential Job Functions
- Interprets, supports, and practices the mission and philosophy of Billings Clinic and department/service.
- Provides day-to-day operational leadership for the central supply/sterile processing staff, supply chain operations staff, surgical team assistants and surgical technologists in the accomplishment of departmental goals and objectives. Participates in and provides feedback and input into the functions of interviewing, hiring, scheduling, establishing priorities and assigning workloads, orientation/training, performance appraisals, coaching/counseling, disciplinary actions in conjunction with the Clinical Coordinator and Surgical Leadership Team.
- Participates in cost containment efforts, budgeting process and fiscal control as it relates to supply utilization and purchases. Assists in the ordering of instruments and supplies and works closely with the Supply Chain Operations staff on the day-to-day ordering. Work with various instrument representatives to provide consistent distribution of instruments to the center when consignment is utilized.
- Coordinates bid requests and analyzes vendor bids. Assists with negotiation of contract terms and price; prepares recommendation for review by Surgical Services and Supply Chain Operations Leadership.
- In conjunction with hospital Surgical Services, coordinated new product evaluations; analyzes the evaluations and makes recommendations regarding purchase of new products.
- Assists team in maintaining adequate inventory of equipment, supplies and instruments. Pick cases for the next scheduled day. Ensure surgeon posting sheets are reviewed and supplies obtained prior to scheduled date.
- Coordinates the daily operational activities for the central supply/sterile processing unit. Responsible for the direction and development of the case cart supply systems, instrument inventory, and sterile processing functions.
- Decontamination: rendering contaminated instruments and medical services safe for handling. Demonstrates consistent utilization of PPE and standard precautions. Demonstrates appropriate handling of instruments and appropriate use of equipment. Disposes of trash and used linens in an appropriate manner.
- Instrument assembly: assembling instrument sets for surgery and specialty trays for use where required. Adheres to appropriate count sheets, instruments checked for function and cleanliness, and count sheets are adjusted as necessary and are signed and dated appropriately. Containers are prepared, labeled and locked. Sets are recorded. Adheres to quality control standards of three (3) errors or less per month.
- Packaging: Responsible for proper wrapping or peel packaging of items for sterilization, utilization of tip protectors as needed, and use of appropriate chemical integrator and tape. Labeling is accurate and legible. Adheres to quality control standards of three (3) or less per month.
- Sterilization: container prep, wrapping, logging, equipment operation, monitoring by charts, grafts, biological and chemical monitor interpretation and required recording. Sterilizer carts are loaded per established standards; inventory is documented, biological monitor use as required. Accurate sterilizer monitoring for parameters. Loads information on stamps, and demonstrates appropriate handling of sterile items.
- Picking Cases: Utilizes the computer for printing surgery schedules and pick sheets. Demonstrates ability to use appropriate size case carts and to follow supply list accurately. Adheres to quality control standards of two (2) or less errors per month.
- Nursing Unit/Clinic Supplies: Collects, cleans, packages, and sterilizes instruments and trays used in patient care areas other than hospital surgery.
- Variety of essential tasks: computer use for all surgery cases, preparing surgery case carts from print lists, transporting carts to surgery, retrieval of specialty trays and medical devices from user areas, responding to frequent phone requests, etc.
- Participates in the development of and assists with implementation of an education plan that addresses individual, departmental and student needs. Participates in conducting regular staff meetings and directs the orientation and training of new staff/students and provides ongoing education to staff.
- Plans appropriate staffing practices by maximizing the utilization of resources; forecasts and anticipates the personnel needs of department(s) with regard to fluctuations in the patient workload and productivity standards; maintains staffing at agreed upon budgetary standards.
- Assists the Clinical Coordinator with the development, implementation and maintenance of departmental policies, procedures and practices to ensure quality of care and a safe environment for patient/staff. Participates in the standardization of physician preferences. Updates and maintains physician preference cards on surgery information system.
- Serves as the clinical instructor for the College of Technology surgical technology students. Acts as liaison between Billings Clinic and the College of Technology surgical students assisting with problem resolution and technical/procedural questions.
- Performs all of the duties of a Surgical Technologists. Anticipates, plans for and responds to the needs of the surgeon and other members of the Surgery Center team by constantly monitoring the sterile field. Provides back-up coverage and relief scheduling for the Surgical Technologists.
- Maintains competency in all organizational, departmental and outside agency safety standards relevant to job performance and ensures staff adherence to the same. Monitors and ensures compliance with quality and regulatory standards Prevents, minimizes and/or corrects risks to patients, families, physicians, and other health care providers. Participates in the investigation of unusual occurrences and follows appropriate procedure.
- Utilizes process improvement principles to assess and improve the quality of patient/resident care. Participates in development of quality initiatives as appropriate based on patient satisfaction scores, employee satisfaction scores, regulatory compliance, and/or other issues identified.
- Acts as a resource for physicians, other health care providers, patients and families. Identifies needs and sets goals for own professional growth and development, meets all mandatory system/departmental educational requirements. Maintains knowledge of current clinical trends and developments as it relates to job scope.
- Maintains competency in all organizational, departmental and outside agency environmental, employee or patient safety standards relevant to job performance.
- Performs other duties as assigned or as needed to meet the needs of the department/organization. Provides back up and participates in staffing as needed and/or appropriate.
