PURPOSE OF POSITION:

This position is accountable for the direction, integration and coordination of all non-nursing activity in the facility. This position is responsible for the following.

Completing clerical and receptionist duties. Facilitates communication between physicians, residents, staff and all other ancillary departments.. Regularly working with resident information which is considered confidential. Provide support to nursing and health information services with record maintenance and clerical duties.

NATURE AND SCOPE:

Accountable for completing a number of clerical and computer support duties required to admit patients to Brandel Manor. Answers phones at station, directs calls. Schedules appointments. Schedules and confirms transportation for residents. Log MD appointments on calendar in the computer and write on the nurses calendars. Responsible for keeping nursing stations stocked with clerical supplies. Maintains an orderly and organized workstation. Assembles charts for new admissions. Keeps residents medical records stocked with appropriate forms/labels. Files appropriate forms in residents' medical records. Completes lab and x-ray requests. Schedules routine lab work. Maintains extra admission packets. Enters patient information into the computer system. Maintains daily census with admits, discharges and room changes. Communicates with Medical Records and Nutritional Services when admits arrive by giving each dept. the proper paperwork. Takes a picture of all new admits and any other residents for the medication mar. Prints out armbands for all new admits and any other residents that need them. Place work orders when needed. Fill out dietary sheets. Responds to residents call lights. Other duties as deemed necessary.

Accountable for facilitation communication between patients, patient families, staff, physicians and ancillary departments. Answers telephone in a professional and timely manner. Arranges consults between patients, patient families and physicians. Acts as a liaison between physicians, nursing staff and ancillary departments. Discharges residents accurately and in a timely manner from computer and write on daily census sheets. Communicates to all appropriate departments of residents discharge.

Accountable for completing required documentation of residents and unit records. Accurately records patient care data on appropriate forms in accordance with departmental policy and unit standards of care. Records all entries in a clear, concise and legible manner. Observes confidentiality practices regarding patients and staff on a constant basis. Thins charts as needed. Accountable for filling out blank ADL sheets and inputting LABS into the computer at the end of each month for the next month. Filing as needed.

Communicates with Health Information Services Coordinator and Director of Nursing.

QUALIFICATIONS:

Education: High School Graduate. Previous office experience with good computer/telephone skills is desirable. Requires a good knowledge of nursing practices and previous medical terminology experience preferred. CNA background desirable. Six months experience in a medical situation. Experience with computers needed. Must be able to type accurately. General: Ability to calmly coordinate several projects at one time. Must have good interpersonal skills and sensitivity to the geriatric population. Must be able to prioritize work and take initiative to complete tasks. Must have a pleasant phone manner and be good in public relations. Able to understand and follow all regulatory and corporate policies related to confidentiality of personal information.

Maintains a presentable, professional and well organized workstation. Files are neat and labeled clearly. Empathy: Knows entire nursing staff by name and provides assistance when asked. Knows residents by name and addresses them by their preferred name. Builds a relationship with families in order to complete medical record for quality of care. Responsiveness: Responds to voice mail and e-mail messages in a timely manner. Responds to all memos and written request within time frame specified. Responds to call lights immediately.
