Description

As a Senior Administrative Assistant, you will provide administrative support the Associate Director of Research Operations. Under his general supervision, you will coordinate all administrative activities of the office. You will be expected to demonstrate initiative, resourcefulness and problem-solving skills in applying a detailed knowledge of the responsibilities, functions and underlying management structure of the department and of the larger Health System. You will need to be very organized and possess the strong ability to prioritize your work, establish

procedures and systems, and ensure the orderly and timely flow of business through the office. You will coordinate the clerical and administrative staff workflow through the office and administer human resource and payroll functions and participate in budget review and financial processes.
Your daily duties will include the following:

  • Managing the front desk
  • Greeting and direct patients, clients and customers to where they need to go
  • Scheduling meetings
  • Manage KRONOS Timekeeping for staff
  • Utilizing LAWSON System (SDAN) to manage employee compliance, performance evaluations and hire paperwork
  • Manage Pre & Post Grants for the department
  • Intermediate to advanced skills using MS Excel (pivot tables, filters, etc)
Education Requirements:
  • Two (2) years college with courses in business, accounting, computer operation and applications
  • Bachelors Degree strongly preferred
Experience:
  • Two (2) to three (3) years progressively responsible office and administrative experience, such experience demonstrating ability to independently establish administrative and office procedures; ability to identify problems and resourcefulness to resolve them independently and on own initiative.
  • Pre & Post Grant experience a plus
  • Intermediate to advanced skills using MS Excel (pivot tables, filters, etc)
