Summary:

The primary duty of the Front Desk & Volunteer Services Coordinator is to support the manager and staff as they work to serve the constituents of Covenant HealthCare and its departments. The Front Desk & Volunteer Services Coordinator serves as the liaison for Covenant Kids assisting in event coordination and promoting Covenant Kids both internally and externally.

The Front Desk & Volunteer Services Coordinator demonstrates excellent customer service performance in that his/her attitude and actions are at all times consistent with the standards contained in the Vision, Mission and Values of Covenant HealthCare and the commitment to Extraordinary Care for Every Generation.

 

Responsibilities:

Department Leadership Responsibilities:

Must be able to effectively communicate in large and small groups and at individual levels to provide necessary information. Teach, reinforce standards, expectations, and policies, evaluate, release and counsel volunteers and front desk staff.

Effectively navigate accreditation standards for the organization. (HFAP)

Maintain awareness of Covenant HealthCare's evaluation/survey results and actively participate in activities/behaviors that help to meet departmental and Covenant goals (i.e., Press Ganey).

Provide follow up, advice, guidance, and expertise in the areas of volunteer and front desk staff relations.

Participate in leadership meetings and development trainings.

 

Covenant Kids Responsibilities:

Responsible for coordinating Covenant Kids activities and media events.

Must communicate with organizers of IFEs (Independent Fundraising Events) coordinating support from Covenant.

Serve as liaison for Covenant Kids champions, actively recruiting staff members from across the organization, as well as leading internal campaigns.

Assist in promoting Covenant Kids both internally and externally.

Works with clinical leadership and Child Life Specialist to identify patients and families to illustrate the extraordinary care Covenant provides to kids through Covenant Kids.

Assigns volunteers for the events and for internal promotions.

 

Front Desk Staff Responsibilities:

Assist with orientation and education.

Assists in providing direct oversight of the Front Desk staff, as well as filling in during times of staff shortage. Cover for the manager during his/her absence.

Assist manager with fiscal responsibilities such as staff scheduling and payroll.

Attend and participate in staff meetings.

 

Volunteer Services Responsibilities:

The coordinator will maintain an awareness of departmental and organizational goals and the impact of volunteers upon those goals.

Demonstrate knowledge of State and Federal regulations governing organizational functions and Human Resources as they apply to Covenant HealthCare and volunteers.

Responsible for volunteer interviews, orientation, placement, and scheduling.

Must be able to screen, select, place, and monitor volunteers. Seek to place volunteers in roles in rewarding roles while meeting organizational needs.

Assist volunteers with planning special events and fundraising (i.e., Spring Fling, Tree of Love, Harvest Gathering).

Must monitor performance and retention of volunteers, receiving input from staff, leadership, and volunteers.

Coordinates communication between volunteers and management.

Maintain complete and accurate volunteer and employee records.

Implement and maintain a marketing program for the recruitment and retention of volunteers.

Other duties as assigned.

 

Other information:

EDUCATION/EXPERIENCE

Bachelor's Degree in Administration, Human Resources, or another related field.

Minimum three years of leadership experience preferred.

Experience in volunteer capacity required.

Experience with public service or hospitality service organizations preferred.

Experience with fund-raising preferred.

 

KNOWLEDGE/SKILLS/ABILITIES

Knowledge and awareness of community resources.

Excellent oral and written communication skills including public speaking skills.

Strong ability and comfort level speaking to large or small audiences to promote and educate the community and/or potential sponsors regarding Covenant Kids or Volunteer opportunities.

Ability to network with community resources.

Demonstrated proficiency in Microsoft Office.

Demonstrated ability to meet Covenant's values of working together, excellence, customer service, accountability, respect, and enthusiasm.

Long standing reputation for a positive, high-energy affect and outstanding customer service required.

Sound judgment in handling confidential or sensitive issues and material.

Demonstrated organizational skills.

Ability to multi-task.

Ability to supervise the efforts of support staff.
