The Professional and competent Adminstrative office support for the Swiss Sales and Projects / Service Organization in the Baar Office. Additionally, the Adminstrative Assistant has been appointed as Quality Administrator and Healthy & Safety Coordinator Switzerland.

The Quality Administrator is a person nominated by Central European (CE) Quality Manager and approved by CE General Manager to work as member of quality team CE. The activities of this position shall include all administrative work requested by Quality Manager CE.

The Health & Safety Coordinator is the local link between local employees and local general management and the CE Safety Manager.


SPECIFIC RESPONSIBILITIES as Administration Assistant:

• General administrative support, incl. correspondence in German, English, French, as well as preparing presentations;
• Organisation of meetings, customer seminars and trainings, exhibitions and customer events;
• Coordination of customer mailings;
• Coordination of advertisements and product reports for technical magazines;
• Coordination the selection, procurement and cost control of customer give-aways, in line with corporate guidelines;
• Office and print material (procurement, cost control, general administration);
• Coordination of rental apartments temporarily rented by the company for new employees or foreign engineers on a project assignment in Switzerland;
• Supervision and support of the commercial apprentice in line with curriculum;
• Owner of the SharePoint Site Central Europe and responsible for its coordination, support and maintenance;
• Coordination of Personal Protection Equipment (PPE) of the emplyoees of the Project and Service department.


Additional SPECIFIC RESPONSIBILITIES as Quality Administrator:

• Maintains documents related to Quality Management System (QMS);
• Prepares schedule for external, internal and customer audits;
• Assists the Quality Manager CE and Quality Coordinator CE in maintaining Quality intranet site;
• Assists to the Quality Coordinator CE in preparing documents related to the QMS;
• Manages the Quality Management for the Swiss entity;
• Providing Quality Management trainings to new employees;


Additional SPECIFIC RESPONSIBILITIES as Health & Safety Coordinator:

• Manages the Health & Safety for the Swiss entity;
• Be first point of contact for employees and management regarding all HSE topics / questions;
• Support and advise Emerson employees and general management on all occupational safety topics and local regulations;
• Bring all HSE issues / changes in regulations to the attention of the Emerson site leaders / general management;
• Cooperate with local occupational Health & Safety (external) experts;
• Carry out local HSE evaluations, define protective measures and ensure local implementation;
• Support Project Managers during risk evaluation on site;
• Carry out “All Employee”, “Operations” and “Special” (i.e. warehouse / forklifter etc.) Safety Trainings, take records including signatures of the trained staff;
• Ensure proper recording of all incidents / near miss / periodical illnesses in CE database & local HR files;
• Ensure purchasing of specified PPE and keep records including handover protocols with employee signature;
• Ensure periodically check / calibration of all defined office and operations equipment (by internal / external as needed) and keep records (last check / calibration – next required date); for example fire extinguishers, manual / electrical forklifters, multimeters & oszilloscope., etc.;
• Providing regular Health & Safety trainings at “All employee meetings” .

REQUIRED QUALIFICATIONS AND EXPERIENCE

• Education: Commercial apprenticeship or equivalent;
• Work experience: 3 to 5 years experience in an office environment or comparable position;
• Language skills: German - fluent, English - good, French - basic (desired);
• Knowledge preferred: Computer literate, MS-Office Applications, modern CRM tools and SharePoint
• Interpersonal skills: Teamwork, flexibility and self learning, professional attitude, committed to excellence, proactive, open-minded personality with good communication skills;
• Basic knowledge of ISO Standards and related processes;
• Must be able to travel within Switzerland (valid car driving license);
• Willingness to travel to other world areas for trainings or business trips, exibithions and customer meetings if necessary;
