The Dealer Administration Manager for Heartland POS Dealer Program provides critical support to the entire Dealer Program team reporting directly to the Sr. Director of Dealer Program Administration (DPA). The responsibilities of the Dealer Administration Manager will cover a broad range of tasks supporting SVP and Directors in assigned project-based work, documentation, process and communication. The position requires a bright, creative, organized person with strong communication and interpersonal skills.

What will you be doing?
Dealer Program Administration
Assist with maintaining/updating/communication on Dealer Program documents ensuring materials are formatted properly, grammatically correct and placed properly in Dealer Program files and on Dealer Knowledge Portal.
Assist with new Dealer onboarding process – vetting, background checks, SalesForce account record updates, communication to HPOS.
Assist with establishing/updating territory, quota, POS product authorization and mapping for new and existing Dealers as well as maintaining all files associated with the process.
Dealer Program Communication
Assist DPA with all critical communications directed towards Dealer Program team, Dealers, Heartland ecosystem following proper channels including but not limited to policy and procedure updates, events, trade shows, marketing updates, Dealer status changes, etc
Assist SVP and Directors on a variety of communication pieces ensuring grammatical correctness and adding creative flair as recommended/required.
Dealer Administration Manager will assist DPA as liaison with Marketing Dept, Communications manager, Dealer Program team on new marketing materials, updates to existing materials and marketing projects such as the New Dealer Welcome Kit.
Social Media for HPOS blogs and info
Assist DPA with third-party marketing firm assigned to Dealers
Will be responsible to know all marketing collateral available and make sure the Dealer Program Team has access and communication to know where to find it, how to use it and when new materials are available.
Will be responsible to make sure that most current versions of marketing documents are stored in shared folders and available on the Dealer Knowledge Portal.
Dealer Administration Manager will assist DPA on coordinating marketing materials for Heartland Dealer Program event such as Dealer Conference, Dealer Gathering, etc.
Dealer Administration Manager will assist in proofing web content, proofing presentation decks for SVP and Directors.
Trade Show and Event Planning and Logistics
Dealer Administration Manager will work with DPA to plan, coordinate and deploy events that are Dealer focused such as the annual RSPA Dealer Gathering, Dealer Conference, Diamond Conference, etc.
Dealer Administration Manager will assist DPA on Heartland Dealer Program Trade Shows working with Director of Trade Shows and Dealer Program Team Members to plan, coordinate, communicate, execute and post-show follow up including immediate attention to leads.
Maintain all event files, calendars updating as shows are added, deleted
Work with DPA to manage and coordinate the Dealers and Dealer Program team members at the major national trade shows.
Provide timely communication on trade shows to all necessary team member to ensure teams are in the know and that shows run smoothly and efficiently.
Assigned various projects to help facilitate, grow and scale the Heartland POS Dealer Program and is expected to complete the projects in a timely manner.
Responsible to respond professionally, courteously and ethically to any communication they receive within 24 hours.
When Dealer Administration Manager is out of the office, it is their responsibility to find team members who can handle and assist with their tasks and communication while they are out.
Respond to communication shall be in the same manner in which the communication came in. IE phone - return by phone
Dealer Administration Manager will cc DPA on communications as necessary.
Always copy and get back to all people on the thread, so that no one is left without a response to an email they were originally copied on.
What are the requirements?
4-year college degree or equivalent working experience
Retail and/or restaurant experience helpful
Excellent written and oral communication skills; writing, proofreading and editing skills
Ability to build rapport with Dealer Program team members, varying Heartland teams, Heartland executives
Proficiency using Google Suite (Doc, Slides, Sheets, Gmail, etc)
Tenacity and confidence to master new software and processes quickly, even if you have never done it before
Self-direction, independence, and solid organizational and follow up skills, working with a strong sense of urgency
Ability to travel as needed - Travel will not exceed 10 weeks per year.
Position may be a home office or HPOS office based
