Position Summary:

Supports Marketing Function through administrative duties such as budget management, PO/Requisition requests, ticket requests, presentation development, expense reconciliation and more as required by Marketing, Creative Services and Education. Supports Creative Services by acting as Resort liaison for creative requests and representing the Education department as required.

Scope and Responsibilities:

1. Supports the Creative Services Brand team and acts as request brand liaison for the Resort's departments

Resort Liaison for Creative Services design and print requests

  • Revise and submit work orders to external print and design vendors as requested
  • Track rounds and route for feedback
  • Communicate status and any issues with stakeholders
  • Ensure delivery of final file or printed piece

Asset and Archive Management

  • Organize and label all photography
  • Ensure all final files of art and brand assets such as logos and fonts are organized and stored in an accessible location

2. Supports the Education team at local Trade Shows and administrative duties as needed:

Project Manage FLL Events Dec-May

Oversee/Delegate the following:

  • Complete master schedule
  • Create individual schedules
  • Create judges schedule
  • Order breakfast/lunch for event day volunteers
  • Create and print breakfast vouchers if needed
  • Print schedules, scoring rubrics, volunteer list, etc.
  • Pull eseller comp tickets for volunteers and email
  • Create folders for Judges, Lynn, and Paul
  • Create team labels for envelopes and trophies
  • Fill goodie bags for each team and members
  • Man check-in table for event
  • Order wristbands
  • Create luggage tags for carts

Education Newsletters

  • Create and send monthly as required

3. Oversees and executes administrative duties for the Consumer Marketing Team including but not limited to:

Support VP of Marketing and Head of Marketing

  • Expense Reports
  • Tasks, projects, presentation creation as needed
  • Oversee planning of team offsites

Comp Ticket Requests for Directors/Managers

  • Pull from eSeller and track requests
  • Oversee all aspects of Ticket Requests for Advertising purposes
  • Create request for Cash Vault
  • Pick up tickets and mail/deliver
  • Keep log of what is ordered and delivered
  • Return and log any unused tickets

Manage Team Warehouse and Giveaway Inventory

Manage Marketing Meeting Room and Supplies/Equipment

  • Espresso pod inventory ordering and stocking
  • Beverage/snack ordering and stocking

Manage monthly Staples order

  • Fulfill Monthly team requests
  • Keep general supplies stocked

Support for Marketing/PR team events

  • Grand openings, events, trade shows, and live shots as needed

4. Oversees and executes Purchasing Process, Purchase Orders, and Requisitions on behalf of the Consumer Marketing Team:

Purchase Order Requisition management

  • Route quotes for approval
  • Create and submit requisitions
  • Track purchase order receipts

Manage New Vendor set up for Marketing

  • Send forms to New Vendor contact and ensure forms are completed
  • Route for required signatures internally
  • Submit forms to Purchasing for set up

Oversee Advertising budget

  • Track all expenses monthly

Oversee Park Collateral budget

  • Track all expenses monthly

Background and Experience:

Requires a minimum of three years of experience in an administrative or customer service role. Experience in the hotel, tourism or a theme park industry a plus. Requires a track record of success in reporting, managing budgets, serving customers, working in a team environment, listening and providing information.

Position requires a high level of proficiency with Microsoft Outlook, Word, PowerPoint, and Excel as reporting and managing budgets are critical components of the role. Experience in Adobe Creative Suite a plus.

Requires ability to multi-task, as well as excellent verbal and interpersonal communication skills. Must be enthusiastic, willing to work in a face paced environment, and handle a high volume and wide variety of client interaction. Must possess great attention to detail and a high sense of urgency.


Bachelor's degree or equivalent experience in sales, marketing or business preferred.

Other Requirements:

Position is full-time. Candidates must be available from 8:30am – 5:00pm Monday through Friday and may be needed on some weekends.
