Summary:
This position's primary function is to create a positive and seamless application/intake process for the Oneida Vocational Rehabilitation (VR) Program. This position is responsible for providing program information and, reviewing client's documentation for potential to receive services This position manages the purchasing process for the program and ensures compliance with the Nation's policies. This is a grant funded position. Continuation of this position is contingent upon funding allocations. Grant funding ends 9/30/2026 for this position.
Responsibilities:
* Interact daily with staff, and clients with courtesy and professionalism
* Answer incoming telephone calls, schedule appointments and forward calls to appropriate staff
* Assist with orientation for potential clients
* Discuss specific program guidelines and eligibility requirements with potential clients
* Conduct initial application, and intake activities with new and existing clients. Ensuring all forms are accurately completed
* Maintain all client files following established format in the program database. Ensuring all case notes are recorded in the program database
* At counselor's request arrange for client vocational/psychological evaluation appointment
* Ensure strict confidentiality of all client information
* At counselor's request obtain current medical information relating to client's physical and/or mental condition to aid counselor in determining eligibility
* Schedule appointments between client and counselor
* Work closely and cooperatively with WI Department of Vocational Rehabilitation and other intern/external referrals, sources and shared client programs or agencies
* Manage the purchasing and receiving process for the program, ensuring compliance with the Nation's policies and procedures
* Respond to record request ensuring file sharing methods follow HIPPA and other federal regulations pertaining to client medical and financial records
* Attend department presentations or outreach events as requested
* Arrange travel, prepare and submit travel-related documents, and maintain travel information as necessary.
* Transmit, retrieve, and log and distribute outgoing/incoming fax documents
* Establish and maintain inventory of office supplies.

* Knowledge and experience in community-based service programs
* Must be willing and able to work with Native Americans with disabilities

Must be willing and able to obtain additional related education and training.
Must pass a pre-employment drug screen and adhere to the Nation Drug and Alcohol-Free Workplace Policy.
A Tuberculosis (TB) Screening and/or a 2 step TB Skin Test is required within thirty (30) days of employment.
Must provide a copy of diploma/degree, license, or certification upon employment.
