General Scope and Summary 


SAGE Therapeutics is searching for a results-oriented, driven, self-motivated team member for a role that is responsible for supporting the operations, administration and communications of functional initiatives within the Technical Operations organization. The individual will work with the SVP and functional team leads to support business operations that will have significant impact on team effectiveness.  Some of the major responsibilities of this position are:

Roles and Responsibilities (Essential Functions)

Operations and Communications (50%):

  • Provide operational support to Technical Operations including Quality Assurance, Pharmaceutical Development, Process Development, Analytical Development, Manufacturing, and Supply Chain.

  • Ensures timely process and execution of contracts including Master Services Agreements (MSA), Statements of Work (SOW), and Confidentiality Agreements (CDA) with external partners such as CROs, CMOs and processes contracts through internal contracts system.

  • Requisition purchase orders as needed ensuring proper communication with vendor and coordination with internal teams on services rendered.

  • Work closely with Finance, Accounting, Procurement, Legal, and functional leaders to develop processes for monitoring contract implementation and compliance, resolving invoices, and tracking departmental and project spend

  • Plans, facilitates, and develops departmental internal communications to ensure ongoing awareness and understanding of functional activity and alignment to strategy.

  • Identifies gaps, redundancies, and areas of improvement in current processes (i.e. contracting, procurement) ensure efficiency and operational excellence

  • Coordinates development of agendas and maintains oversight of action items from team meetings to drive execution of key initiatives and facilitate decision-making.

  • Assists with other operations activities and projects as assigned.

Administration (50%):

  • Actively manages leadership (SVP, or VP) calendars, meetings, schedule, travel arrangements, expense reports and prepares necessary materials.

  • Consults with leadership as needed to solicit information, provide critical updates and to coordinate information and priorities.

  • Takes initiative to research technical or outside of policy questions. Evaluates and refers matters for appropriate handling, and coordinates, compiles and documents relevant data and background information to support executive decision making or problem resolution. Works with highly time sensitive and confidential information

  • Ensures accuracy of data and sources, and researches questions or problems demonstrating a sound knowledge of the technical specialty area(s) and general corporate policies and operations.

  • Ability to draft correspondences, speaking points, and presentations that reflect the communication style of the leader.

  • Ensure ongoing cross-functional communication with critical functions for departmental success

Experience, Education and Specialized Knowledge and Skills

The successful candidate must thrive working in a fast-paced, innovative environment while remaining flexible, proactive, resourceful and efficient.  Excellent communication and collaboration skills in a cross-functional and fast-paced environment as well as a proven ability to achieve results in a virtual setting Other requirements are:

Basic Qualifications

  • 5+ years' experience in high-volume project coordination or administrative support

  • Must possess excellent communication skills, relationship building capabilities, and proven ability to influence decision-making without authority.

  • Must be able to actively manage and track multiple complex projects in parallel, managing the actions of many people toward shared outcomes.

Preferred Qualifications

  • Prior experience in biotech and Technical Operations preferred

  • Consistently and systematically collaborates with internal stakeholders to plan approach to bring meaningful value

  • Advanced proficiency in Microsoft Word, Excel, PowerPoint, and database administration experience required.

  • Highly motivated, decisive, and results-oriented individual with the flexibility and creativity to excel in a rapidly growing and changing environment.

  • Experience working with all levels of management and consulting with key business stakeholders. An ability to influence for greater outcomes.

  • Strong team player that has a customer service approach and is solution oriented.

  • Attention to detail and the ability to work individually, within a multi-disciplinary team, as well as with external partners and vendors.
