Our experienced staff of Psychiatrists, Psychologists, Social Workers, Mental Health Specialists, Parent Partners and other therapists/counselors provide case management, mental health care and a range of support services in schools, homes or other community settings.  Our dedicated teams work collaboratively and in partnership with family members, school administrators and faculty, county social workers, case managers, probation officers and other agencies.

JOB SUMMARY: This position provides administrative support for all Clinical Department Heads, Primary Therapists, UR, QA and Clinical Director Committees, and monitors treatment team scheduling. Work is performed under general supervision but functions independently. Various computerized and non-computerized reports are prepared regularly. Accuracy and timeliness are essential as they may affect legal and economic liability to the facility. Regular interaction with all staff members, physicians, outside agencies and the public. This position requires a high degree of confidentiality.
 

MINIMUM QUALIFICATIONS

Education

High school graduate or equivalent required.

Associate degree or technical/vocational/secretarial school diploma preferred.

Experience

Two (2) years in an inpatient or outpatient medical setting with secretarial experience including transcription.

Specialized Skills

Ability to interact and communicate both verbally and in writing with seriously emotionally disturbed adolescents, other staff, physicians and the public.

Demonstrated familiarity with computers and transcription equipment, required.

Demonstrated knowledge of Word and Excel.

Demonstrated knowledge of ICD-9-CM and DSM-IV coding required.

Ability to type 50 words per minute on computer and typewriter.

Physical Requirements

Ability to sit most of the working day, generally in front of a computer screen.
 

POTENTIAL JOB HAZARDS

Assaultive Clients

Blood and Body Fluid Contact (Category III)

Potential for eye strains from computer screen and minor lacerations from paper cuts.


SAFETY PRECAUTIONS REQUIRED

Demonstrated knowledge of response to assaultive behavior.

Demonstrated use of Standard Precautions.

Demonstrated knowledge of safety procedures and Material Safety Data Sheets particular to departmental hazards.
 

ESSENTIAL DUTIES AND RESPONSIBILITIES

Records in writing, word processes, duplicates, distributes and maintains a file of minutes for Clinical Directors meeting, other Clinical Managers, UR and QA.


Word processes, duplicates, distributes and maintains a computer file for all memos, letters, reports, bills and any other correspondence for administrator, clinical department heads, primary therapists, and physicians.


Monitors the Utilization Review process and prepares review forms for UR Coordinators on a regular basis.


Prepares a Pass List weekly.


Monitors the Treatment Team scheduling and prepares and distributes a weekly schedule.


Prepares an "on-call" schedule and facility calendar monthly.

Tracks ITP updates and faxes them out to CSWs, attys, etc.


Manages completion of client outcome reports.


Tracks day treatment intensive authorizations and CTP's.


Maintains clinical department cash advance.
 

Tabulates results for MACI testing.
 

OTHER DUTIES AND RESPONSIBILITES
 

Orders supplies for clinical department and incentive items for clients, as needed.


Ensures new therapists are authorized to access DTI website.


Notifies external team members about client incident reports.


Participates in the Agency's and SBHG's Total Quality Management (TQM) and Continuous Quality Improvement (CQI) systems which support compliance with Joint Commission and other accreditation standards as applicable.
 

Participates in TQM activities as requested including CQI subcommittees, probes, peer review, audit and/or tracer activities as appropriate.
