Description

The Training Administration Team has an opening for a highly motivated and organized individual to provide administrative support, in a fast paced team environment, for Corporate Training Initiatives. In this role you will act as the first point of contact for all organizational and development inquiries. 

What will you do?

  • Be the first point of contact for corporate learning and development inquiries
  • Coordinate the day-to-day administration and logistics of corporate learning, training initiatives, and Learning Management System continuity
  • Interact with partners both internally and externally to troubleshoot and assist/respond to inquiries in a timely manner
  • Manage the two email inboxes for the Learning Management System
  • Work with Program Managers to schedule and confirm course dates for training and courses offered
  • Assist employees and external vendors with registration requests and inquiries
  • Book training rooms and manage schedule
  • Maintain the area's records management system, computer inventory and resource materials
  • Prepare detailed internal account reconciliations and external invoice reconciliation
  • Ensure ongoing maintenance of training rooms and audiovisual equipment
  • Collaborate to prioritize high volume of requests and inquiries
  • Perform other related duties as required
Qualifications

  • Completion of the 12th school grade or GED including business subjects with emphasis on general office practices or completion of an appropriate certificate program from an approved business school/college
  • Minimum 2 years office administration experience including, diversified word, information processing, and customer service

Assets:

  • Experience with Learning Management Systems and software 

Skills required for success:

  • Ability to handle difficult and challenging situations with professionalism
  • Proficient and accurate typing skills including spelling, grammar, punctuation and formatting
  • High level of organization with the ability to understand and manage multiple tasks with different priority levels from multiple people under tight deadlines
  • Intermediate to advanced knowledge in Microsoft Office and Google applications
  • Exemplary time management and adaptation skills Excellent customer service, interpersonal and communication (verbal and written) skills needed 
  • Ability to deal with confidential information with a high degree of judgement and discretion

Work Environment:

  • Physical ability and manual dexterity to perform the duties of this position, including set-up and clean training classrooms including moving tables and chairs on wheels and lifting boxes up to 35 pounds on a daily basis
  • Note: This position may be eligible for a hybrid work arrangement with the flexibility to work from both home and the worksite as per the Letter of Understanding between the City of Edmonton and Civic Service Union 52
  • The weekly hours of work for this position are currently under review and may change at a future time. Any changes will be made in accordance with the City of Edmonton/Civic Service Union 52 collective agreement and the incumbent will be notified in advance

Hours of Work: 33.75 hours per week, Monday-Friday

Salary Range: $26.640 - $33.081 (Hourly); $46,933.020 - $58,280.450 (Annually)
