Description

The Operations Coordinator will support our field operations. This role is critical in ensuring efficient scheduling, compliance, job execution, training, and maintenance across our hub operations. The ideal candidate will be highly organized and detail-oriented that thrives in a fast-paced environment.

Key Responsibilities:

SCHEDULING AND HUB WORK EXECUTION

  • Assist Hub Managers/Area Managers with communication around scheduling and job execution, as needed Assist Centralized Scheduling Team with collection of information as needed
  • Ensure job sheets are completed daily and check for:
  • Completion and accuracy and making revisions if necessary
  • Photo requirements
  • Items that need to be communicated to other teams
  • Review DVIR's daily:
  • Review DVIR's for completeness
  • Ensure repair/maintenance is coordinated and completed if items noted on DVIR require attention
  • Give feedback on completion/accuracy/revisions to Hub/Area Managers

COMPLIANCE AND FACILITIES

  • Review schedules and determine permit needs Pull correct permits on a timely basis Complete a monthly review of all permits, licenses and tags
  • Annual/Trip Overwidth, Overheight, IFTA
  • Proof of insurance and registrations in all vehicles
  • Tag Expirations
  • Fuel cards in proper vehicles
  • Review signage/postings on and in facilities, vehicles and equipment monthly
  • State and Federal Compliance Posters
  • HouseSmart/DOT stickers on vehicles
  • Vehicle and Equipment ID numbers
  • Ensure GPS/Camera systems are in place and functional Ensure technology (printers, Ipads, etc.) are functional and trouble shoot when necessary

PEOPLE

  • Ensure time and attendance/payroll is correct, making updates daily in collaboration with Hub Manager Working with recruiting team, plan times for interviews/onboarding of new TM's Assist with collection and completion of necessary onboarding paperwork
  • Assist with collection and completion of driver qualification process
  • Assist with policy and compliance sign-offs and availability to TM's E
  • nsure new Team Members have PPE, uniforms and boots necessary to begin work
  • Assist with completion of orientation program steps
  • Review required safety and compliance training for Team Members
  • Ensure necessary safety and compliance training is completed prior to due dates

TRAINING

  • Complete and Maintain Skill Profile Documents on every Team Member
  • Collect training sign-offs weekly Update Skill Profiles weekly with completed training steps
  • Understand the training goals each week and compare to completed training
  • Deliver feedback or reporting on training completion to Hub Manager and Area Manager

INVENTORY AND SUPPLIES

  • Review inventory of required supplies and materials weekly
  • Review schedules to determine amount of materials and supplies needed for this week/next week
  • Order supplies and materials to ensure on-hands based on lead times with appropriate safety stock to minimize emergency purchasing
  • Assist with vendor set-ups to ensure direct billing for vendors, minimizing purchasing by P-Card

PURCHASING REVIEW

  • Assist Hub Manager/Area Manager in review of PCARD/AMEX/FUEL CARD/LOWE'S, etc.
  • Ensure receipts are turned in by purchasers
  • Assist with completion of Expense Reports as necessary
  • Look for opportunities to find vendors to minimize P-Card usage

VEHICLE AND EQUIPMENT MAINTENANCE

  • Review all equipment and vehicle maintenance records monthly, updating if necessary
  • Schedule necessary preventative maintenance in a timely fashion Ensure maintenance records are maintained and updated after each action
  • Partner with Hub Manager and Area Manager to determine necessary repairs
  • Schedule and follow-up on necessary repairs
  • Build relationships with local maintenance and repair shops

CALENDAR/PLAN

  • Utilize Outlook calendar for daily/weekly/monthly items

AS NEEDED:
