Role Overview

The Senior Real Estate Administrator, based in Grand Rapids MI, is responsible for overseeing and managing the details of lease administration and landlord relations, while also providing support to the construction and installation teams. This role ensures efficient lease management, coordinates construction administration, and supports the FFE procurement process. The ideal candidate will have extensive experience in lease administration, strong knowledge of construction processes, and excellent organizational skills.

Annual Salary Range: $60,000 - $80,000

Role Type: Full time exempt. Hybrid: Minimum two days M-F in-person at Fusion Office in downtown Grand Rapids.

Reports to: The role will report directly to the VP New School Development. Key function will be all administrative work related to leases, estoppels, renewals, new schools, zoning documentation and TIA administration.

The Senior Real Estate Administrator will focus on three primary areas day to day:

Lease Administration

  • Maintain and update lease records and monitor critical lease dates such as expirations, renewals, and rent escalations
  • Collaborate with legal, finance, and property management teams to ensure accurate lease administration
  • Manage lease-related inquiries and provide support to internal and external parties and prepare and distribute lease summaries
  • Maintain positive landlord relationships and provide effective support to our internal teams and tenants
  • Support zoning efforts

Track and Manage Paperwork for Tenant Improvement Allowances and Construction Documentation

  • Review and interpret lease agreements to determine TIA provisions and requirements
  • Track and manage TIA disbursements, ensuring compliance with lease terms and conditions
  • Ensuring timely and accurate handling of construction cost documentation for TIA reimbursement, reducing financial risks
  • Coordinate with contractors, project managers, and landlords to ensure compliance with TIA requirements and avoid delays in reimbursement

Support Furniture Fixtures and Equipment Procurement

  • Oversee the procurement of FFE for new schools, ensuring alignment with design standards, budgets, and project timelines
  • Collaborate with vendors and suppliers to source high-quality, cost-effective FFE solutions
  • Track and manage FFE orders, coordinating delivery to meet project deadlines

Required Qualifications:

  • Bachelor's Degree
  • 3 to 5 years experience in lease admin, real-estate project management and construction administration
  • Working knowledge of construction procedures, scheduling, and subcontractor management
  • Strong organizational skills and the ability to manage multiple projects simultaneously.
  • Excellent communication skills for working with landlord relations and internal and external stakeholders
  • Proficiency in Microsoft Office Suite and lease management software
