- Providing administrative and clerical support to meet site objectives, reporting to the Facilities Group Leader and Site Security Representative.
- Managing front-desk coverage as the first point of contact for visitors, contractors, and external callers.
- Handling daily administrative functions: answering calls, managing visitor traffic, supporting new hire onboarding, procurement of goods/services, submitting purchase requisitions, processing invoices, tracking purchase orders, ordering supplies, sorting mail, scheduling meetings, managing conference room schedules, shipping/receiving support, access control, processing work requests, and generating work orders.
- Assisting departmental staff with scheduling third-party services, verifying work order service tickets, and approving invoices.
- Supporting department meetings and events by reserving/preparing rooms.
- Working with vendors to verify site safety requirements and coordinate access.
- Creating security access badges and issuing parking permits.
- Multi-tasking and responding to evolving priorities related to site safety and security.
- Maintaining a clean and orderly work area, following site safety rules, and performing other duties as assigned.
- Have a High School Diploma (required).
- Possess 3-5 years of administrative and/or procurement experience.
- Demonstrate excellent written and verbal communication and customer service skills.
- Are detail-oriented, able to read and interpret company policies, procedures, and guidelines.
- Have strong time-management and organizational skills.
- Are proficient with Microsoft Office applications (Word, Excel, PowerPoint, Outlook).
- Can lift and/or move up to 40 pounds.
- Have a working knowledge of corporate spending reports.
Preferred qualifications include:
- Bachelor's Degree in Business Administration, Management, or related field.
- Front desk receptionist experience.
- Proficiency in SAP platforms and Lotus Notes.
- Strong data analysis skills.
- Shipping/receiving or mailroom experience.
- Experience managing building access control systems.
- Vendor management experience.
- Experience working in a 5S and safety-conscious environment.
