Front Desk Administrative Assistant
Location: Biglerville, PA
Contract: 6 Months or longer
Pay Rate: $19 – $21 per hour (Depending on experience)
Schedule: Monday to Friday, 8 AM – 4 PM (Flexible)
Overview:
This scenic, year-round facility is home to five picnic pavilions, playgrounds, and walking trails, and it plays host to several beloved community events throughout the year. We are seeking a Front Desk Administrative Assistant who will serve as the first point of contact for visitors and vendors. You'll manage pavilion reservations, handle deposits, support event coordination, and assist with a range of administrative duties.
You'll work alongside another administrative team member to help manage peak traffic during the busy season.
Key Responsibilities:
Visitor Services & Reservations

  • Greet guests and respond to phone and email inquiries
  • Book and confirm pavilion reservations and update facility calendars
Deposit Management & Reporting
  • Collect and record deposit and security fees (check/credit)
  • Reconcile daily deposits and prepare weekly financial summaries
Invoice Processing
  • Enter and code low-volume electronic invoices
  • Match invoices to purchase orders or reservations
  • Flag discrepancies and coordinate approvals for payment
Event Support
  • Assist with event preparation and staff/volunteer check-in during festivals
  • Maintain sign-in logs and manage supplies during peak days
Office Administration
  • Keep the front desk and office space clean and organized
  • Maintain supply inventory and daily usage reports
  • Handle additional requests such as permit processing and maintenance coordination
Qualifications:
  • 1–2 years of experience in a front desk or office administration role
  • Basic understanding (or willingness to learn) of invoice entry and deposit reconciliation
  • Comfortable learning new systems (reservation or office software)
  • Friendly, customer-focused attitude with strong communication skills
  • Organized, detail-oriented, and able to handle both routine and fast-paced days
