Professional Education Event Specialist – Danvers, MA

Kelly Outsourcing & Consulting Group (KellyOCG), a managed solution provider and business unit of Kelly Services, Inc., is currently seeking a Professional Education Event Specialist at one of our Global clients in Danvers, MA.  This role is a full-time, fully benefited position.

Pay: $30 min/open; plus benefits and PTO
Hours: M-F day shift plus overtime as needed for events and travel
Duration: contract through end of year

We are a highly energetic,focused and FUN team to work with.  Our Senior Professional Education Event Specialist will manage multiple events simultaneously while providing exceptional white-glove service to customers, adhering to SOPs and budgets. They will offer strategic insights on the effectiveness of healthcare professional (HCP) events, particularly professional education events and meetings, while developing a world-class HCP engagement process. Additionally, they will participate in strategic decision-making, program planning, and evaluation, aligning initiatives with organizational goals. This position sits with the events team.

You are exceptionally passionate about meeting planning. You are a strategic thinker, an innovator and are able to balance multiple projects and meetings at once. You are creative, have a positive attitude, like a fast paced environment, are polished, professional and above all; a team player.

Your day might look like:                                   

  • Coordinate and execute all logistics for specified customer meetings.  This includes, but is not limited to, planning and preparing for a large in-person, virtual or hybrid meeting, being aware and up-to-date on all the current technology for events, gathering materials for courses and events, sourcing and securing event locations, taking reservations, creating a registration website, organizing travel and ground transportation, making hotel accommodations, sourcing food & beverage, and requesting payment for physician reimbursement, honoraria, program deposits, etc.          
  • Provide white glove service to our customers throughout event, including onsite
  • Ensure that feedback from all meetings is collected, analyzed, and reported out to business owners
  • Manage budgets for multiple events at once
  • Collect survey responses using Qualtrics
  • Maintain and update multiple calendars of events for both internal and external consumption
  • Assist the physician education department with development of marketing materials for training events
  • Any special projects given

What we need from you:
  • 50% domestic travel may be required
  • Event experience preferred
  • Enjoy a hybrid working environment
  • Good presentation skills.
  • BA/BS in marketing, hospitality, or related degree required
  • Previous experience in meetings and conventions planning
  • Project management skills; able to juggle multiple projects and balance competing priorities
  • Able to interact professionally and confidently with important customers and individuals at all levels within the organization
  • Thrives when collaborating with others; a relationship builder
  • Excellent time management skills and a multi-tasker
  • Thrives on deadlines, detail-oriented, effectively manages multiple projects concurrently
  • Motivated self-starter able to identify issues and propose solutions without being asked 
  • Ability to communicate ideas and information clearly, effectively, and frequently (oral and written)
  • Proficiency in Microsoft Office, Adobe Suite. Salesforce.com and Splash experience a plus
