Title and Summary
Executive Assistant, Marketing and Communications, Americas Overview:Seeking a highly organized, detail-oriented, experienced Executive Assistant to provide comprehensive administrative support for four Senior Vice Presidents (SVPs) in the Americas Integrated Marketing and Communications organization, as well as providing general day to day assistance across departmental/office activities.
The Executive Assistant is the administrative liaison with internal and external stakeholders to Mastercard and will filter and prioritize executive & strategic meetings and communicate on behalf of the executive they support. This position also helps create a positive and collaborative team culture.
Role:
• Perform general administrative duties to support day-to-day department operations in such areas as calendar management, scheduling meetings; managing travel arrangements, expense reporting; and prioritizing the most sensitive matters
• Distribute meeting materials; screening email; provide SVPs with meeting materials ahead of meetings
• Order supplies, electronically file documents, maintain department records, and other duties, as assigned
• Prepare correspondence; email; reports; presentations or other assigned adhoc projects.
• Plan leadership meetings, team offsites, broader team meetings and customer engagements
• Develop and produce reports, as assigned
• Maintain and update internal and external distribution lists for email correspondence
• Administer programs; projects or processes specific to the operating unit served; and maintain spreadsheets and/or databases to monitor departmental information.
• May research special topics, as assigned
• May assist in preparing and maintaining departmental budget for internal teams events, etc.
All About You:
• Extensive administrative experience in a corporate environment interfacing with and managing multiple c-suite executive level management, senior customers, and external vendors
• Competency across the Microsoft Office suite including Word, Excel, PowerPoint, Outlook, CoPilot, and MS Teams
• Experience with expense management platforms
• Advanced experience in administrative support (with preference for experience within a matrixed, cross functional and global organization)
• Good understanding and judgement of reasonable expenditures in order to support the SVP with organizing travel, activities, and approve team expenses on behalf of SVPs
• Experience in supporting senior level executives in a fast-paced corporate work environment
• Good understanding of strategic initiatives to prioritize meetings
• Demonstrated professionalism and discretion, and experience in working with highly confidential information
• Must be proactive and solution oriented, looking for ways to add value and assist the team
• Extremely collaborative, ability to foster a positive team spirit, with a “can-do” attitude, and open to feedback and suggestions
• Strong communication skills (written and verbal)
• Intrinsically-motivated, highly organized, detail-oriented and results-oriented
• Able to work well under pressure to meet deadlines, anticipate business needs, and prioritize work accordingly
