SAIC is seeking a Senior Administrative Assistant to support the MAJESTIC Joint Program Office (JPO) Team. This role requires an experienced professional to manage day-to-day administrative responsibilities, prioritize competing demands, and liaise with internal and external stakeholders. The ideal candidate will have exceptional attention to detail, strong communication skills, and the ability to handle sensitive information with discretion.
As a trusted member of the team, the Administrative Assistant Sr. will assist senior leadership and team members by coordinating schedules, tracking tasks, and managing correspondence to ensure smooth and efficient office operations.
This role requires on-site support in Springfield, VA.
Key Responsibilities:
- Manage and maintain schedules and calendars for program leadership, including scheduling meetings, appointments, and conference calls.
- Coordinate and arrange travel plans, including booking flights, lodging, transportation, and preparing travel expense reports in accordance with government regulations.
- Handle correspondence, including drafting, formatting, and proofreading memorandums, reports, and email communications on behalf of leadership.
- Review, route, and track tasker assignments to ensure deadlines are met and deliverables are completed.
- Maintain and organize physical and digital filing systems to ensure easy access to records, reports, and reference materials.
- Serve as the primary point of contact for meeting logistics, including managing conference room reservations and ensuring meeting materials are prepared and distributed.
- Assist with timekeeping, expense reporting, and purchasing requests in compliance with organizational policies.
- Track and monitor program and office supplies; coordinate with vendors to procure materials as needed.
- Support the onboarding of new team members by coordinating badging, security clearance verification, and workspace setup.
- Ensure compliance with standard operating procedures, security guidelines, and office protocols, handling sensitive or classified materials appropriately.
- Provide administrative support for special projects, team events, and operational initiatives as directed by program leadership.
Qualifications
Education:
- Bachelor's Degree
Experience:
- 10-15 years of professional experience
Key Skills:
- Expertise in managing complex schedules, with the ability to prioritize competing demands effectively and make recommendations for time management.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook) and familiarity with database and task tracking tools.
- Strong capabilities in written and verbal communication, including preparing professional correspondence and editing documents for clarity and accuracy.
- Skilled in event and logistical coordination, including travel arrangements, meeting setup, and resource management.
- High level of organizational skills, with the ability to handle multiple tasks simultaneously and meet deadlines in a fast-paced environment.
- Experience maintaining confidentiality while handling sensitive or classified information, following all applicable requirements and procedures.
- Comfort in working with leadership teams and liaising with internal and external stakeholders at all levels.
- Familiarity with timekeeping systems, expense reporting, and government travel systems (e.g., DTS preferred).
Clearance Requirement:
- ActiveTS/SCIclearance with the ability to obtain and maintain a TS/SCI with Poly.
Work Environment and Notes:
- On-Site Work: All work must be conducted on-site in Springfield, VA.
- Program Scope: Supports on-premises enterprise IT environments, including virtualized Windows servers, MS SQL Server databases, and networking layers.
- Subcontractor Role: Responsibilities and compensation vary based on the subcontract agreement, with a competitive salary aligned to market rates and role-specific requirements.
