Position Summary The Railcar Billing Coordinator is responsible for the accurate and timely billing of railcar repair related services performed at the site. This position works closely with Railcar Maintenance Manager, Railcar Repair team, and internal finance teams to ensure all railcar activity is captured, validated, and billed in accordance with contractual agreements and operational records. This role requires an on-site presence, attention to detail, and the ability to partner directly with customer and railcar repair teams in a fast-paced industrial environment. Responsibilities Work daily on-site at the location to support railcar billing activities Partner directly with customer contacts to verify services rendered and billing details Act as the primary on-site billing liaison between the customer, operations, and internal finance teams Prepare and process invoices for railcar repair services Ensure billing aligns with customer contracts, AAR, and negotiated pricing Order and maintain onsite railcar repair inventory Submit accurate invoices in accordance with customer standards and expectations Update railcar repair daily reports and send end-of-day summary to customers Coordinate corrections, credits, and rebills as required Maintain clear documentation for railcar repair KPIs Compliance & Documentation Maintain accurate billing records and supporting documentation at the site Ensure compliance with internal controls, customer requirements, and audit standards Support internal and customer audits as requested Support month-end close and reporting activities Qualifications Required High school diploma or equivalent 2+ years of experience in billing, accounting, rail operations support, or logistics coordination Strong attention to detail and ability to work independently on-site Proficiency in Microsoft Excel Ability to communicate professionally with customers and internal stakeholders Skills & Competencies Strong organizational and time-management skills Excellent problem-solving and analytical abilities Customer-focused mindset with the ability to maintain professionalism on-site Ability to work in a fast-paced, industrial environment Ability to handle sensitive billing information with discretion Work Environment & Requirements Full-time, on-site position Office and industrial setting; may require walking in operational areas Must comply with all site safety, security, and PPE requirements Standard business hours with additional hours during month-end close as needed #IND1
