We are currently seeking a Junior/Intermediate Administrative Assistant to join our Calgary, AB office. This position will support the business functions for a group of world-class consulting engineers across seven different office locations. This position will perform administrative and office support activities including, but not limited to, the preparation of technical documents and managing day-to-day office responsibilities.

 

We are seeking an individual who is a quick learner, highly motivated, and excels at initiating tasks independently. The ideal candidate possesses administrative experience, ideally in a role where they proactively and successfully managed numerous high-priority tasks. The candidate for this role must have exceptional attention to detail, exhibit a strong sense of curiosity, be accessible, and consistently communicate in a clear and respectful manner. We are looking for someone who is passionate about delivering quality results, and loves working with an industry-leading team of professionals who are driven, results-oriented, and innovative.

 

Some of the Responsibilities You May Have:

  • Formatting and proofreading reports, proposals, and correspondence to deliver exceptionally accurate documents that comply with corporate standards.
  • Creating and manipulating PDF documents using features of Adobe Acrobat or similar PDF software to assemble documents and insert links and bookmarks.
  • Scanning, printing, and binding documents to be delivered to clients.
  • Ensuring the successful facilitation of file management for projects.
  • Maintaining the project archive and document library.
  • Planning logistics and preparing minutes for internal and client meetings, in person and via Microsoft Teams.
  • Maintain the group calendar and boardroom schedules while coordinating catering and other resources needed to fulfill requests, as needed.
  • Assist with equipment maintenance, storage room organization and inventory, fleet vehicle data base management, schedule maintenance and monitor availability.
  • Assisting with travel arrangements.
  • Completing expenses and timecards for staff.
  • Completing other administrative tasks as assigned.
  • Maintaining positive working relationships with other Administrators and the team as a whole.
  • Providing back-up reception coverage when required.
  • Providing back-up field work in Calgary when required (working outside in varied weather conditions, with the ability to walk long distances and for long periods of time).

 

Qualifications that Would Make You A Great Candidate:

  •        A post-secondary certificate/diploma from a recognized office assistant or administrative assistant program. Applicants with a high school diploma, plus experience in an administrative assistant position will also be considered.
  •        Proficiency with Microsoft Office applications, including document templates.
  •        Excellent verbal and written English communication skills.
  •        Excellent spelling, grammar, and proofreading skills.
  •        Display a great attention to detail.
  •        Self-motivated with strong time management.
  •        Ability to identify and manage conflicting priorities.
  •        Superior organizational skills with the ability to handle multiple, deadline-oriented priorities.
  •        Ability to meet time-sensitive deadlines.
  •        Demonstrated strong work ethic and commitment to safety.
  •        Creative problem solver who works in a professional and ethical manner.
  •        Experience working with SharePoint or other document management software would be considered and asset.
  •        Valid driver's license and access to a personal vehicle is a must.

 

Working Conditions:

  •        Regular office hours are 8:00am to 5:00pm, Monday to Friday. Occasional support on weekends or evenings may be required during peak reporting times. The position is eligible for paid overtime.
  •        The position entails a moderate amount of physical exertion (lifting boxes of files and reports, storage room organization, and other items).

A requirement of working for Tetra Tech is that you are at least 18 years of age and legally entitled to work in Canada without sponsorship (a copy of a valid work permit may be required).
