Position Summary:
As a Project Controls Assistant, you will provide hands-on project assistance across multiple municipal infrastructure projects within the Infrastructure Group in the North Texas (Plano) office. This role supports Project Engineers and Project Managers with project setup, documentation, scheduling, budgeting, financial tracking, and client deliverables for water, wastewater, stormwater, and solid waste planning and facilities design projects. Your work will help ensure projects are executed efficiently, risks are identified early, and contractual and financial requirements are met.
Essential Functions:
Support Project Engineers and Project Managers with project setup activities, including work breakdown structures, project documentation, and coordination with internal teams and clients.
Assist with tracking and maintaining project schedules and budgets to support effective project execution.
Collaborate with Project Managers and Project Accountants to manage project costs, ensuring cost models accurately reflect rates, overhead, markups, usage, and financial assumptions.
Assist with identifying, documenting, and preparing budget changes, potential contract amendments, and change order documentation.
Support risk management efforts by identifying key performance indicators that may impact project schedule, scope, or budget.
Assist with the management and tracking of RFIs and submittals during construction phases.
Support client invoicing efforts, including earned value reporting, project status reporting, and documentation required under client contract terms.

Prepare draft project documents for review by Project Managers, including:
Project Work Plans
Change Order Documentation
Project Evaluation and Estimate at Completion (PEEAC) forms
Assist with portfolio-level risk analysis by reviewing project metrics, coordinating with Accounting to ensure risks are appropriately reflected in reserves, and supporting audit readiness.
Coordinate project review logistics and assist with compiling supporting documentation for internal and external reviews.
Develop PowerPoint presentations and visual materials for client project updates.
Assist with the preparation of technical materials and documentation in support of proposals.
Operate semi-independently to produce accurate drafts and reports, exercising sound judgment prior to Project Manager review and finalization.
Required Qualifications:
Associate's degree in business, accounting, or a related field.
Minimum of two years of experience in an architectural, engineering, construction, or similar project-based industry.
Proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, SharePoint, Teams, and Microsoft Project.
Strong organizational and analytical skills with attention to detail.
Ability to work effectively both independently and collaboratively in a team environment.
Professional communication skills, with the ability to interact with clients and internal stakeholders across written, verbal, and virtual platforms.
Physical Requirements:
Ability to work at a computer for extended periods of time.
Occasional meetings or coordination activities may require in-office collaboration.
