The Administrative Assistant IV (Building Coordinator) performs complex building/administrative support and technical assistance program work. Work is performed under the limited supervision of the Service Director with moderate latitude for the use of initiative and independent judgment. The Administrative Assistant IV serves as the Administrative Support and primary point of contact for the assigned building. The building coordinator responsibilities generally include the oversight of the residential environment including asset inventory, coordination of repairs, responding to equipment needs, and assisting with space utilization. The building coordinator will also monitor building safety issues, monitor compliance with required safety procedure documentation, provide staff training and communication regarding areas of personal, physical, plant safety/health, emergency procedures, and fire safety. The Administrative Assistant IV demonstrates advanced computer proficiency and the ability to interpret and implement administrative procedures and rules. The Admin Assistant IV demonstrates the ability to communicate and collaborate effectively with co-workers, supervisors, patients/families, other departments, and visitors. They may be asked to facilitate visits with external agencies or client advocacy.
Essential Job Functions (EJFs):
The Administrative Assistant IV is responsible for the management of the residential building maintenance requests, coordination, and tracking repairs to satisfactory completion through internal spreadsheets, databases, and communications with maintenance office personnel about ongoing maintenance needs.
The position is required to track hospital assets through the hospital inventory tracking system, source equipment needs for patients, order and maintain an acceptable level of personal protective equipment (PPE) supplies for staff and clients using the HHSC MEMS internal ordering system. The purchases made for the patient incentive program inventory are sourced outside of the Material Inventory Management System (MIMS) through local Pro-Card purchases and purchase order request.
This position is responsible for monitoring building safety issues and compliance with required safety procedure documentation. The position provides staff training and communication regarding areas of personal, physical, and plant safety/health, emergency procedures, and fire safety.
Participates in patients' treatment team assessments to gather knowledge and/or unit-based performance improvement initiatives and activities to enhance the treatment for persons served on Adult Psychiatric Services (APS). The position serves as the purchasing liaison that sources incentive program needs for specific clients that are agreed on by medical staff and participants within the treatment team monthly assessments.
Provides administrative support to the APS Program Director and assists with special projects. The position provides reports on demand pertaining to maintenance, client incentive programs, and general clerical duties. Special projects that support the Program Director field trips for clients, special events for dining, and other projects that are deemed necessary by the Program Director.
The position is responsible for space utilization and office assignments for staff and other short-term visitors as it pertains to office space throughout the building. Schedules meetings in the building conference room.
Performs other duties as assigned. Other duties as assigned include but are not limited to actively participating and/or serving in a supporting role to meet the agency's obligations for disaster response and/or recovery or Continuity of Operations (COOP) activation. Such participation may require an alternate shift pattern assignment and/or location.
Knowledge, Skills and Abilities (KSAs):
Knowledge of office practices and administrative procedures including the use of standard office equipment and software.
Basic knowledge of building maintenance.
Skill in oral and written communication.

Initial Screening Criteria:
Associates degree preferred. Two years' experience can be substituted for degree
And
At least 2 years of administrative level support experience.
At least 2 years' experience with use of MS Office software, especially Outlook, Word and Excel required
Additional Information:
Applicants must pass a fingerprint criminal background check, pre-employment drug screen, and registry checks including the Client Abuse/Neglect Reporting System (CANRS), Nurse Aid, Medication Aide and Employee Misconduct, List of Excluded Individuals/Entities (LEIE). Males between the ages of 18-25 must be registered with the Selective Service.

Flexibility in work hours may be required for this position. The position may be required to work overtime and/or extended hours.
Compliance with HHSC immunization policy and state hospital operating procedures related to immunizations is required. According to the Centers for Disease Control and Prevention, healthcare workers are at significant risk for acquiring or transmitting hepatitis B, measles, mumps, rubella, varicella (chicken pox), tetanus, diphtheria, pertussis (whooping cough), and influenza. All these diseases are vaccine preventable. Vaccines may be provided. As a result, state hospital policy requires employees be vaccinated according to their level of contact with individuals. In the event you choose to not be immunized for the influenza virus, you may be required to wear a mask and take other protective measures.
