The Training Assistant works under close supervision of the Director of Competency, Training and Development, with minimal latitude for the use of initiative and independent judgment. Performs entry-level training assistant work to support the CTD department. Work involves assisting with the preparation of educational and training programs. Provides assigned training to New Employee Orientation and Refresher classes. May perform research or compile materials for training programs and classes. Uses Microsoft Outlook, PowerPoint, Excel, and other related software. May be periodically assigned to morning, evening or weekend/holiday hours to meet training needs. May work hours and schedule other than 8a-5p, Monday-Friday to meet training needs. Performs related work as assigned. Maintains willingness to accept additional responsibilities as assigned by the CTD Director.
Essential Job Functions (EJFs):
Attends work on a regular basis and may be required to work a specific shift schedule or, at times, even a rotating schedule, extended shift and/or overtime in accordance with agency leave policy and performs other duties as assigned.
- Provides technical and administrative work in support of educational and training programs.
- Compiles reports on training programs and maintains training records.
- Organizes and prepares materials and supplies for training courses such as handouts, flip-charts, laptops, projectors, or other resources.
- Assists with scheduling and registration for training courses and conferences, and with preparing and updating course rosters.
- Assists in planning and developing training, staff development, and continuing education programs.
- May perform research or compile materials for training development.
- Assist coordinate and maintain a schedule for training presentations.
- Performs related work as assigned.
- Maintains willingness to accept additional responsibilities as assigned by the CTD Director.
- Creating/scheduling and distributing mandatory training calendars.
- Maintain Instructor certifications.
- Assist in data entry functions, such as compiling reports on trainings and compliance of facility training standards.
Other duties as assigned include but are not limited to actively participating and/or serving in a supporting role to meet the agency's obligations for disaster response and/or recovery or Continuity of Operations Plan (COOP) activation. Such participation may require an alternate shift pattern assignment and/or location.
Knowledge, Skills and Abilities (KSAs):
- Ability to prioritize workload according to the needs of the department.
- Ability to work well as a team with fellow work colleagues.
- Skills in instructing others and in using computers and web-based training.
- Ability to communicate effectively in both written and oral form.
- Ability to use multi-function telephone system.
- Skills in delivering instructor led lectures and demonstrations to groups of employees at all levels.
- Ability to operate audio-visual equipment.
- Ability to lift, pull, carry, and push up to 55 lbs.
- Position requires repeated bending, simple grasping, finger/manual dexterity, standing for long periods of time, kneeling, vision, reaching above the shoulder, dual simultaneous grasping, sitting, walking, twisting upper body, stooping and hearing.
- Ability to obtain and maintain required instructor certifications.
Registrations, Licensure Requirements or Certifications:
Must possess valid Texas driver's license or obtain it no later than 90 days after hire date. Applicants with an out-of-state driver's license must provide an original certified driving record from the state of driving licensure. Eligible driving record required based on HHSC Fleet Management policy.
Initial Screening Criteria:
Required:
High School diploma or equivalent.
Preferred:
Experience in Data Entry and Data Management;
Experience with creating and maintaining an operable filing system;
Experience in creating, generating, and compiling reports;
Experience providing classroom training, on-the-job training or job coaching.
Additional Information:
Applicants must pass a fingerprint criminal background check, pre-employment drug screen, and registry checks including the Client Abuse/Neglect Reporting System (CANRS), Nurse Aide, Medication Aide and Employee Misconduct and HHS List of Excluded Individuals/Entities (LEIE).
Males between the ages of 18 – 25 must be registered with the Selective Service.
All State Supported Living Center Employees are subject to Random Drug Testing.
Flexibility in work hours may be required for this position. The position may be required to work overtime and/or extended hours. Must be willing to work weekends and holidays.
