Description

This position will function as a Research Financial Analyst and will be responsible for providing financial management and overseeing compliance for research and sponsored programs in the Bioengineering Department. This position will support activities on all sponsored project awards and will assist Principal Investigator's (PI's) and administrative staff on award budget and expenditure allowability and fund stewardship, oversee grant sub-award monitoring processes and provide direction and assistance as needed, while working collaboratively with the Office of Research and Innovation (ORI). This position will be responsible for reporting, budget modifications and forecasting, and financial analysis while adhering to, all University, sponsor, federal, and state-imposed rules, regulations, policies and procedures related to administering sponsored agreements. This position will routinely communicate and coordinate with the campus community, provide innovative solutions, and guide Bioengineering research faculty through decisions of resource allocation amid an increasingly complex regulatory environment.

Minimum Education and Experience

Bachelor's degree in Accounting or other Business area. Two years of experience in Accounting, Budget or other Financial area or an equivalent combination of education and experience. Business acumen, leadership capabilities, ability to think strategically and analytically. Experience in providing innovation and problem solving; excellent oral communication skills and ability to work in a team environment. Requires extreme accuracy in all phases of work.

Preferred Education and Experience

  • 3 to 5 years of progressive responsibility of pre- or post-award research administration.
  • Strong knowledge and experience with Uniform Guidance, NIH, NSF, CPRIT and other sponsor agencies.
  • Proven understanding of relevant business practices, laws, and regulations related to public fiscal administration, including procurement, travel, reimbursements, and the use of public agency credit cards.
  • Experienced in financial analysis and budget forecasting. Demonstrated experience in creating and manipulating budgets using MS Excel is required.
  • Experienced in PeopleSoft, Jaggaer, Microsoft (Excel, Word, PowerPoint, Outlook, Teams), and Adobe.
  • Excellent communication skills (both verbal and written), with a focus on delivering prompt and effective solutions to any issues or requests. Strong capability in clearly and effectively conveying policies, procedures, and technical information. Proven ability to adapt communication style to suit different audiences and customer needs.
  • Demonstrated ability to independently gather, analyze, and process information to identify and solve problems proactively, without the need for detailed direction.
  • Self-motivated and able to work independently with minimal supervision.
  • Strong interpersonal and relationship management skills to effectively collaborate with a wide variety of individuals; ability to explain policies, regulations, statutes, and guidelines.
  • The successful candidate will demonstrate the ability to anticipate the needs of PI's and their administrators.
  • Proven ability to collaborate effectively as a contributing member of a team, bringing value through active participation and support.
  • Strong organizational skills with the ability to prioritize tasks and manage multiple projects in a calm, accurate, efficient and consistent manner.

Essential Duties and Responsibilities

  • Provide PI's with budget and expenditure reporting, projections and suggestions for resolving surplus or deficit funding. Maintain necessary records, files, reports, databases, and resource materials pertinent to grant activities. Meet regularly with PI's to review their accounts and provide support by assisting with the financial management of their grants and ensuring compliance.
  • Assist PI with accurate preparation and timely submission of progress reports as required by the sponsored agency. Analyze effort allocation and prepare adjustments at the PI's direction. Track and monitor bridge funding needs and notify the appropriate department of potential gaps. Perform close-out procedures for sponsored projects, including confirmation of accurate accounting records, ensuring grant funds are properly charged, preventing overspending, document retention, reducing audit risks, and assisting with non-financial report submission as needed.
  • Review award documents to determine restrictions and other pertinent information. Interpret agency guidelines to enable better understanding for PI's. Assist with grant orientation for new PI's and other staff on policies, forms, and procedures required for sponsored projects. Possess knowledge of external sponsor regulations, particularly regarding federal grant requirements. Will be the in-house resource for PI's and administrative staff on sponsor policies and regulations regarding the administration of award funds.
  • Ensure that the administration of sponsored projects complies with federal and state regulations, ethical principles and generally accepted practices. Monitor accounting records for compliance & accuracy, including project budgets, direct/indirect charges, & sub-awardee invoices. Conduct accurate financial analysis, including the preparation and reconciliation of monthly financial reports of grants and contracts. Assist departmental staff in pertinent fundamental research administration functions.
  • Assist PI's with periodic reports for grant agencies, submission of sponsor reports and other deliverables as needed. Communicate with PI's, department administrators and sponsors when needed to resolve award issues. Identify the need for grant period extensions, carryover of unobligated balances, authorization of pre-award costs and communicate these to ORI.
  • Serve as the department liaison to other University departments and program/contract officers in funding agencies to ensure timely resolutions to post-award issues and ensure research compliance issues are addressed.
  • Assists with the development and implementation of internal operating procedures, coordinates the work activities within their assigned team, and provides work direction as needed.
  • Perform independent financial analysis for all subaward invoices, manage current subrecipient files on all agencies/entities receiving sponsored funds and serve as the primary point of contact with the PI's regarding subrecipient invoicing, both to resolve issues and obtain required approval.
  • Provide backup to team members and across teams, as needed, to meet overall daily operational needs.
  • Perform other duties and assist with special projects as assigned.


Additional Information

After the probationary period, this role may be eligible for a hybrid (partly remote/partly in office) work schedule, subject to business need and manager approval. May be required to use personal computer and other standard office equipment. Must be located within the DFW Area and have the ability to be on campus with 24 hours of notice. A UT Dallas Remote Work Agreement will be required within 14 days after approval.
