About the Role

An opportunity exists for an administrative professional with project management experience to join the Australian Regional Environment function, a new dedicated research team that will form part of an exciting new research centre initiative.

As the Research Centre Project Officer, you will be accountable for the day-to-day management of the key systems and execution of the processes the Centre uses to manage its projects and workflows. Your key duties and activities you will support includes:

  • Undertaking duties associated with the Research Centre working group and associated governance committees, including organising meetings, taking minutes, preparing, and updating project plans.

  • Providing organisational support for internal and external meetings and events, including the annual research symposium, e.g. venue hire, catering, program, RSVP tracking and communications.

  • Driving new and continuous improvements in various aspects of systems and processes such as better automation of project financial summaries and minimising task inefficiencies resulting in maximum ‘tool time' for the researchers.

  • Ongoing monitoring, stakeholder engagement, training, and support to ensure all members of the Centre are compliant with workflow and processes that are required by the Centre and broader Alcoa management systems.

  • Assisting with the recruitment and onboarding of new staff including organising inductions, desk space, PPE and IT.

  • Scoping digitisation, databasing and relocation of the research library.

  • Liaison with external researchers – to establish correct protocols and processes for research initiatives.

  • Drafting data sharing agreements, non-disclosure agreements, research agreements and research contracts in collaboration with third parties

  • Preparing the annual budget in consultation with the project team.

What you can bring to the role

  • High level of administrative experience and a background in project management.

  • Finance experience including preparation and tracking of budgets and procurement practices.

  • Excellent organisational ability and change management experience with previous experience coordinating events.

  • Ability to influence across the organisation to ensure actions are implemented.

  • Understanding of organisational systems and processes in large organisations.

  • Demonstrated high level experience in the use of Microsoft Project, Excel, Smartsheet, PowerPoint.

  • Ability to prioritise and find solutions to unique issues daily.
