Store Operations Administrator/Visual Merchandiser

Job Summary

Responsible for managing the daily operations of the Bassett Home Furnishings retail location, so that the store's financial objectives, customer experience, and daily tasks are consistently achieved. The Store Operations Administrator ensures adherence to the Bassett standard in the following areas: customer relations, administrative functions, operational processes, and systems.The Visual Merchandiser is responsible for the look and feel of Bassett Home Furnishings retail stores through space planning, accessorizing and maintaining showroom floors in accordance with Bassett merchandising standards for your market. Coordinate showroom product inventory for floor sets and monitor inventory for replenishment needs.

Supervision Received

Direct reporting and supervision from the store management.  Additional supervision given by the Regional Manager and Regional Operations Manager.  Visual direction given by Regional Manager and Corporate Store Planning

No direct reports. Collaborates with store managers and provides direction to other store staff and warehouse transfer team as needed.

 Essential Functions

As the Store Operations Administrator:

  • Drive increased efficiencies and support positive customer experience by performing the following:
    • Manage the store's follow up on sales coded CWC (customer will call);
    • Design Consultants with order entry, cash management, financing applications;
    • Assist Design Consultants in ordering parts for customers such as arm caps, table legs, hardware, etc.
    • Receive purchase orders for parts or store pick-ups; manage and complete store pickups;
    • Coordinate with corporate Customer Care team, as needed;
  • Manage daily business transactions by completing the following:
    • Assist with auditing Sales Orders for accuracy using the Daily Transaction Report, ensuring proper documentation for all orders including makeovers. Provide information to the Store Manager upon completion;
    • Audit and approve Daily Business Folders;
    • Resolve Wells Fargo and credit card chargebacks;
    • Adhere to protocols for protecting customers' personal information;
  • Manage Accounts Receivable (A/R) in conjunction with Store Manager, including:
    • Prepare weekly A/R packet and ensure all supporting documents are present;
    • Send A/R report to Store Manager, Regional Operations Manager and Regional Manager;
    • Send weekly A/R packet to Retail Accounting Team including deposits and payments;
  • Maintain awareness of merchandising and marketing to perform and ensure:
    • Adherence to Floor Set Guide and Visual Standards;
    • Tagging and tagging updates;
    • Clearance items are categorized in the system and priced correctly;
  • Perform and direct administrative functions, including:
    • Reconcile petty cash and reimbursement and balance the cash drawer;
    • Ensure daily deposits are taken to the bank;
    • Prepare and submit Accounts Payable (expense reports and approvals) promptly, including all proper documentation;
    • Ensure all Wells Fargo applications are mailed weekly;
  • Schedule non-selling staff, such as housekeeping and porter roles, in conjunction with the Store Manager, to ensure efficiency and effectiveness.
  • Manage operational processes and practices, including:
    • Store expense control, including invoice review for manager approval;
    • Warehouse, service and delivery processes and procedures;
    • Inventory accuracy and integrity including transfers, monthly cycle counts and semi-annual/annual physical inventory;
  • Order and maintain collateral and office supplies;
  • Manage building maintenance, including systems (HVAC, doors, roof, power), parking lot, signs, lights, outdoor appearance of the store, computer equipment, lighting ordering and replacement, coordination of furniture repair, paint upkeep, and interior flooring repair, etc. by knowing protocol (whom to contact and how to handle billing for issues);
  • Complete all training and demonstrate knowledge of all company policies and procedures;
  • Assist Store Manager with onboarding of new staff and ongoing education of existing Design Consultants from an operations standpoint;
  • Establish relationship and open communication with local warehouse, EDI Coordinator, visual merchandising team, corporate customer care, accounting, etc.;
  • Adhere to safety and cleaning protocols;
  • Perform other operational duties as assigned by management;
  • Maintain satisfactory time and attendance.

As the Visual Merchandiser:

Ensure that all furniture and accessories are placed on the showroom floor in accordance with Bassett's merchandising standards;

• Work with the Store Manager to conduct frequent showroom floor inspections to ensure appropriate merchandising, cleanliness and proper maintenance of product displays;
• Coordinate all merchandise floor moves, while partnering with the Store Manager;
• Analyze sales of furniture and accessories on the floor and executing a strategy for exiting unproductive SKU's;
• Order furniture and accessory inventory for the showroom floor, as necessary, based on sales analyzes
• Share the responsibility for physical inventory, receiving and cycle counts with the Store Manager and SOA to ensuring inventory accuracy and accountability;
• Supervise and/or execute the receipt, tagging and placement of furniture and accessory product;
• Coordinate the disposition of discontinued product and the integration of new furniture and accessory products on the showroom floor;
• Manage the repair or replacement of damaged merchandise;
• Monitor, maintain and update product collateral, paint, props, lighting replacement and direction, etc.;
• At the end of the day, ensure the showroom floor is cleaned up from materials used during the day. This includes, tripping hazards, work materials such as hammers, nail, ladders, etc. are removed and put in their proper storage location;
• Manage inventory, transfers and organization of dedicated Clearance areas in stores to keep them full and compelling;
• Participate in store staff training sessions as necessary.

 Necessary experience/skills/education/abilities

  • Bachelor's degree in interior design, merchandising or related field and/or a minimum of 3 years' experience in store/space planning, interior design or visual merchandising;

  • Retail experience is a plus, but not required;

  • Organizational and time management skills, creative and detail oriented;

  • Commitment to Bassett's Vision and Values at all times;

  • Conflict and problem resolution skills;

  • Valid driver's license and a maintained clear and safe driving record;

  • Some travel required between showroom locations

  • Work in an organized and safety conscious manner;

  • Work independently or within a team with an enthusiastic attitude;

  • Effectively communicate with customers, co-workers, and management;

  • Read, understand and write the English language;

  • Utilize Windows-based software, including Microsoft Word and Excel;

  • Navigate and utilize applicable Bassett systems, such as STORIS, Bnet, JDEdwards, Marketmate, SalesForce, Dispatch Track, BU Online, Brickworks, etc.;

  • Occasionally push or pull up to 50 punds

  • Occasionally lift up to 25 pounds;

  • Occasionally bend or reach overhead;

  • Walk, stand, sit, use hands and fingers, handle or feel objects, use and/or control tools, reach with hands and arms, climb stairs, balance, stoop, kneel, crouch, or crawl, talk and hear, and see up close, in color, depth and distance vision, as well as the ability to focus.
