Description

Position Summary  

The Library and Archives Paraprofessional 4 performs acquisitions, cataloging, and online library catalog data maintenance functions in the Technical Services department of the Bellevue College Library Media Center under the direction of the Associate Dean and in close consultation with the Systems Librarian and the Collection Development Librarian.

Responsibilities include placing orders for print, electronic, and visual resources with vendors; monitoring acquisitions budget; reconciling invoices and payments with vendors and the Bellevue College business office; cataloging and maintaining records in the library's Integrated Library System (ILS); providing complex bibliographic searches and statistical data for library planning, collection development, and reporting; enhancing the productivity of Technical Services by evaluating  routines and procedures and recommending changes; writing macro scripts and automating workflows to enhance productivity; maintaining portions of the Library Policy and Procedure Manual; ensuring adequate supply inventory for the Technical Services department.

Pay, Benefits & Work Schedule  

Position Salary Range: $48,924/year - $65,700/year

The salary information shown above is a general guideline only. The salary will be determined based on candidate's qualifications and related experience, as well as market and business considerations. Individuals newly hired to Classified position are placed in a salary range based on the WPEA Collective Bargaining Agreement.

About the Department  

The Bellevue College Library plays a vital role in the mission and goals of the College by being a place for personal and intellectual discovery, a student-centered place committed to research & teaching excellence.  The Library is open five days per week and employs 16 faculty and staff along with numerous student employees.  Its collections include a robust list of electronic journals, databases and books in addition to a print collection that includes exciting collections of graphic novels, zines and books focused on ESL learners.

Essential Functions  

Acquisitions

  • Responsible for acquisition of print and streaming materials, including communication with vendors
  • Initiate orders for print and standing orders, including generating purchase orders
  • Use features of various vendor interfaces to place orders [i.e Gobi]
  • Track and receive orders, verifying accuracy
  • Select and import bibliographic records into the ILS
  • Serve as a contact to vendors regarding orders and payment, troubleshooting those issues as needed

Budget Maintenance

  • Working closing with the Library's Administrative Assistant, maintain budget records and purchasing history for library materials invoiced within the ILS
  • Build yearly ledger and fund hierarchy in the ILS to track data for statistical reporting
  • Reconcile monthly status reports with the ILS
  • Track encumbrances and expenditures within the ILS
  • Perform monthly reconciliation of procurement card

Cataloging

  • Routinely performs copy cataloging and occasionally performs original cataloging of library materials, including print and electronic books and streaming media
  • Use established cataloging resources such as AACR2R, RDA, Library of Congress Subject Heading and Classification systems
  • Perform complex bibliographic searches using OCLC WorldCat and the Library ILS
  • Working as a team with Systems and Collections, maintains the integrity and reliability of the Library ILS while prioritizing accessibility to content.
  • Withdraw materials from the collection and delete holdings within OCLC

Statistics

  • Maintain existing and establish new systematic methods for the tabulation of acquisitions and cataloging statistics
  • Provide in-depth data related to the library's materials and their usage
  • Create statistical reports for planning, reporting, and Accreditation
  • Extract data and create reports in order to improve ILS consistency and reliability

Productivity & Workflow

  • Work with others to determine improvements in workflow
  • Recommend and implement changes and improvements to the workflow of the Technical Services department
  • Evaluate tasks and set appropriate priorities
  • Identify and determine the nature and scope of issues in need of resolution.
  • Utilize automated procedures when working with large quantities of records

Special Projects

  • Develop or participate in projects such as collection inventory, conversion of older records to follow current standards, or reconciling holdings within OCLC
  • Contribute to regional, statewide, or other library initiatives

Other Duties

  • Troubleshoot appropriate ILS issues reported by employees and students
  • Research and implement new technologies regarding the acquisition of materials in various formats, such as Open Educational Resources
  • Provide information to Assoc Dean & librarians for analysis and policy decisions
  • Identify and evaluate potential software purchases for the Technical Services department
  • Identify the need for repairs, as appropriate
Minimum Qualifications  
  • High school graduation and three years of applicable library experience, including 1 year beyond the entry level or Associate Degree in Library Technology plus one years' experience beyond entry level 
  • Ability to work collaboratively and communicate with the Collections librarian, library administration, and other library employees
  • Strong computer skills, including word processing and spreadsheet applications 
  • Experience with an automated acquisition system for library materials
  • Demonstrated ability to work collaboratively in a workplace committed to equity and inclusion.

Other requirements:

  • Ability to lift and move items that weigh up to 25 lbs
  • Ability to maneuver a book cart full of library materials 
  • Ability to use a keyboard and read a computer monitor
Preferred Qualifications  
  • Associate Degree in Library Technology or a Baccalaureate Degree.
  • Experience with ExLibris Alma cataloging, acquisitions, and reporting modules (Analytics)
  • The ability to problem-solve in different instances and contexts
  • Experience working with OCLC, including original & copy cataloging
  • Experience using the MARC record structure
  • Ability to efficiently find data on library materials and usage, edit and communicate that data to others
