Position Summary  

The Program Assistant reports to the PNW College Credit Director and performs duties relevant to supporting the overall daily operation of the program as well as matters pertaining to marketing, recruitment, program outreach, student registration and transition. Duties include providing administrative support and assistance to the Director, Program Specialist, and consortium stakeholders.

Pay, Benefits & Work Schedule  

Position Salary Range: $37,872/year - $50,076/year

The salary will be determined based on candidate's qualifications and related experience. Individuals newly hired to Classified position are placed in a salary range based on the WPEA Collective Bargaining Agreement.

The employee is scheduled to work 40 hours per workweek. This is a Classified, overtime eligible position and represented by the Washington Public Employee Association of Higher Education (WPEA-HE).

About the Department  

Pacific NW College Credit supports career and technical education dual credit opportunities and student transition to college, training and employment. Program is a consortium of five local community/technical colleges, fourteen school districts and two regional skills centers. Program is housed at Bellevue College under the Student Affairs department and serves as the consortium's fiscal agent.

Essential Functions  

Provide students/families/educators with accurate and relevant program information (phone and email inquiries)

  • Answer any email and phone inquiries from students/parents/educators.

Use the CTE SERS system to administer outreach to students, parents, teachers; process student registrations and payments; process grades; create reports

  • Send bulk email reminders.
  • Check students off manually as paid, checking payment report regularly during the school year.
  • Process checks for late payments.
  • Input grades.
  • Create registered/paid reports, payment reports and grading reports throughout school year.

Assist in preparation of correspondence, reports, presentations and marketing materials for program outreach

  • Create forms and flyers for student outreach.
  • Update program website.
  • Create and update registration materials (online, in print, presentations).
  • Provide reports as necessary to inform program (payments, registrations, contact info).
  • Update marketing materials as needed.
  • Assist with mailings.

Make travel arrangements; organize and coordinate meetings and appointments; and prepare for events hosted by PNWCC

  • Provide administrative support to Director and Program Specialist for travel arrangements and necessary forms (including local travel).
  • Coordinate meetings with program faculty and Director.
  • Provide meeting minutes.
  • Coordinate forms, meals, room arrangements for several in-service trainings provided by PNWCC to teachers and CTE staff throughout the school year.

Minimum Qualifications  
  • High school diploma. Any combination of relevant education and/or experience may be substituted for the educational requirement on a year-for-year basis.
  • Two (2) years of administrative, clerical, or customer service experience.
  • Proficient with Microsoft Office (Word, Excel, PowerPoint, and Outlook).
  • Effective communication and customer service skills.
  • Demonstrated experience working with diverse colleagues and/or students in a collaborative and inclusive environment.
