Position Summary  

The Recruitment and Admission Specialist is an exempt position that reports to the Welcome Center Director. The position performs tasks under general direction, and takes a lead position in coordinating recruitment activities that lead to admission and class registration for prospective and newly admitted students.  The Recruitment and Admission Specialist collaborates with the Welcome Center Director in hiring, training, and supervising BC Ambassadors and BC Peer Leaders, which will collaborate in outreach activities.

This position is responsible for developing, implementing and analyzing comprehensive recruitment strategies to increase registration of new students at Bellevue College. The position also initiates academic coaching, disseminates current information about academic programs, and support services to students who are new to Bellevue College. In addition to traditional recruitment responsibilities, assignments include a special emphasis on recruiting student from underrepresented or marginalized populations. The Recruitment and Admissions Specialist is detail oriented, has the ability to work independently, has effective communication skills, collaborates with internal departments, and represents the college on various committees within Bellevue College and communities within the college service regional area.

We are seeking qualified applicants to fill two (2) vacancies. One vacancy is a permanent position and the second vacancy is a project position expected to end on 06/30/2023. This project position may transition from temporary to permanent, pending funding availability.

Pay, Benefits & Work Schedule  

Annual Salary Range: $65,255 - $91,314.

Annual salary will be commensurate with candidate's qualifications and related experience.

The employee is scheduled to work 40 hours per workweek. This position may be eligible for the overtime provisions of the Fair Labor Standards Act; salaries below the WA State Salary Threshold is eligible for overtime pay.

About the Department  

The Welcome Center works within Student Affairs providing a single service area for students, the public, and the campus community. The Welcome Center Department provides services related to admission and orientation, entry advising, and outreach to prospective students and the community. 

Essential Functions  

Outreach and Recruitment

  • Recruit prospective students at off-campus events including high school college fairs, outreach events, and community events while addressing diverse audiences.
  • Provide entry advising to prospective student applicants about opportunities available at Bellevue College including the admissions process, financial literacy, academic preparation, and first quarter enrollment planning into the college.
  • Develop partnerships with off-campus community organizations that enhance our recruitment initiatives. 
  • Manage outreach requests and update outreach event calendar. Document and report outreach events.
  • Manage inventory and budget for outreach materials including promotional items, flyers, and brochures. Order and request new materials. 
  • Manage communication processes with prospective and pre-enrolled students through email, customer relations management (CRM) software and other campus platforms.
  • Analyze data needed to evaluate the effectiveness of outreach and recruitment efforts.

Information and Customer Services

  • Support Welcome Center everyday operations including front desk inquiries and directing walk-in students to appropriate departments.
  • Assist the department in coordinating campus tours and information sessions. Provide campus tours and present as needed.
  • Follow up with prospective students by email, phone, and written materials.

Operations Management

  • Establish an expectation that all BC Ambassadors to use a direct transformational service model when working with prospective students, campus visitors, and BC students in person, on the phone, email, or via online.
  • Train BC Ambassadors to focus on the prospective student experience and to take a holistic approach when working with prospective students and families during outreach events at Bellevue College or in the region.
  • Support the Welcome Center Director and Admission Advisors to build an effective team that is results driven and characterized by collaboration and cooperation. 
  • Supervise designated BC Ambassadors in outreach events. Help to select and hire BC Ambassadors, make recommendations for disciplinary action, approve/deny leave requests, evaluate BC Ambassadors performance on a yearly basis, resolve grievances in consultation with HR, establish office expectations, and take corrective action. 

Marketing

  • In collaboration with Institutional Advancement, create communication materials for prospective and newly admitted students including flyers, brochures, and email templates.
  • Manage inventory and budget for outreach materials including promotional items, flyers, and brochures. Order and request new materials. 

Other

  • Perform other duties as assigned. 
Minimum Qualifications  
  • Bachelor's degree. Relevant years of experience can be substituted for the education requirement on a year-for-year basis.
  • Experience working with diverse colleagues and students in a collaborative and inclusive environment.
  • Possess valid Washington State driver's license, vehicle in working condition, proof of insurance, (or the ability to obtain upon first day of employment).
  • Have and maintain a good driving record and the ability to fulfill timely and extensive travel requirements across widespread regional geography.

  • Demonstrated ability to work flexible hours including frequent evening and weekend hours. 
  • Demonstrated ability to effective oral, written and interpersonal communication skills (application materials are used to evaluate written skill level).
  • Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint).
  • Experience presenting to variety of audiences.
Preferred Qualifications  
  • Two (2) years' experience working in a higher education or community college setting.
  • Proficiency in a second language.
  • Experience with Customer Relationship Management (CRM) systems including Salesforce/TargetX.
  • Demonstrated experience in recruitment, marketing, or sales.
