Job Description:

The Assistant Director (AD) for Signature Events has primary responsibility for orchestrating and managing large-scale, cyclical “signature events” that celebrate constituencies within the Brown University alumni community. These events support the Office of Alumni Relations (AR) and the Brown Alumni Association (BAA) in creating meaningful moments of connection, celebration, and exploration for Brown University alumni. 

Events within the Assistant Directors' responsibility include those based on shared identity and affinity, campus experiences, and more. Examples include Black Alumni Reunion, All-Council Weekend, and “Years of Women at Brown” celebrations. The AD will also be responsible for a portfolio of annually-occurring signature events, working in all cases with a team of professionals, consultants, and vendors - and in consultation with alumni stakeholders - to design and execute events within the AD's remit. 

The Assistant Director will cultivate strong collaborative ties with alumni volunteers and leaders, integrating their perspectives into event planning and fostering inclusive atmospheres to encourage community participation. Their decisions guide the logistical management of these events, ensuring alignment with the Department's goals and contributing to a profound sense of pride and belonging among alumni attendees. The AD ensures that these alumni events are not only well-executed but also foster a sense of community and pride among alumni and with Brown.

This is a fixed 18-month term position which may be extended based upon available funding.

Education and Experience

  • Bachelor's degree or equivalent combination of education and experience.

  • Minimum of 4 years of experience in a related field such as event planning and coordination, strategic planning, marketing, project management, higher education, customer service, and volunteer management.

Required Qualifications

  • A high degree of cultural competency and emotional intelligence, with an ability to understand and interpret lived experiences different from one's own in designing events that reflect the community and constituency that the event serves.

  • Demonstrated ability to conceptualize, develop, and execute a large-scale event from start to finish. Experience in project management 

  • Demonstrate a proactive and creative mindset, capable of strategic thinking and innovation. They must possess exceptional interpersonal skills and be adept at managing multiple sensitive issues and tasks simultaneously.

  • Exceptional verbal and written communication skills are vital, with the ability to engage effectively with faculty, senior administration, and high-profile alumni. 

  • Excel in building and nurturing relationships with university partners and a diverse array of alumni volunteer leaders. 

  • Proficiency in MS Office (Word, Excel, PowerPoint), the Google suite of tools, web and email technologies, and database management is essential, with a willingness to adapt and learn new technologies swiftly.

  • Proficiency with Zoom (Meeting and Webinar) and CRM software 

  • A positive, can-do attitude coupled with a creative and innovative approach to programming.  Flexibility is paramount, as the position may require occasional evening and weekend work, as well as domestic and international travel.

  • Proven track record of being highly proactive and detail oriented.

Preferred Qualifications 

  • Strong preference for candidates with a professional history of working with diverse stakeholder communities and constituencies and a track record of effective multi-stakeholder program or project leadership.

  • Diplomacy and negotiation prowess are key attributes, that facilitate successful relationship-building initiatives.

  • Ability to make timely, impactful decisions based on facts, circumstances, and needs

  • Ability to present effectively to small and large groups.
