General Summary

Reporting to the Director of Donor Relations, the Associate Director of Donor Relations is responsible for supporting a comprehensive, university-wide donor stewardship program to acknowledge, recognize, support and engage donors to DePaul University. Primary responsibilities will include enhancing and maintaining funds databases (e.g. Engage), facilitating the delivery of elegant, timely, and accurate donor reporting with an emphasis on endowment and scholarship funds, and working with DoDs on the stewardship of donors within Schools.

The Associate Director is also responsible for working with internal partners as an advocate for DePaul's donors, which will include donor fund administration within Advancement and with University partners, and ensuring that gifts are spent in the manner intended by the donor. This requires collaboration with Departments, students, the offices of Financial Aid and the Controller, as well as the Office of Gift Processing, to pinpoint and resolve any gift issues. The Associate Director will also develop and review gift and recognition agreements, and maintain all policies and procedures relating to these areas.

Responsibilities & Duties

Gift Administration and Monitoring Gift Compliance:

  • Review gift agreements in consultation with internal stakeholders, structuring provision to address the unique circumstances of each gift and donor intent. Ensure all agreements are executed by, and routed to, relevant parties.

  • Primary contact for donors and colleagues regarding the University endowment, any donor-supported funds, historic or current gifts, and troubleshooting existing gifts.

  • Work with campus partners to ensure gift funds that have been restricted by donors are spent efficiently and according to their purpose, and address issues that impede the fulfillment of donor intent.

  • Work with the Director of Donor Relations and senior leadership on advising on endowment thresholds and naming thresholds, and providing guidance on the restriction of gifts.

  • Participate in periodic compliance reviews, in partnership with Internal Audit. Work with the Office of Academic Fiscal Administration regarding donor-funded professorships and programs.

  • Provide campus leadership with periodic status reports on fund expenditure.

Donor Reporting:

  • Lead on the production of impactful, accurate and timely donor reporting, including the annual delivery of reports to all donors to endowment funds and spendable scholarship funds.

  • Maintain collaborative relationships with university departments and fund managers to gather and review information for the production of donor reports and updates.

  • Enhance and manage Advancement funds database (Engage).

  • Lead on creative donor stewardship, such as preparing donor videos. Work with DoDs to review donors in their portfolios and/or expendable and endowed funds in their School, and lead in the creation stewardship/reporting plans for agreed donors and gifts.

  • Ensure all activity against plans is captured on the database.

Scholarship Administration:

  • Collaborate with the Office of Financial Aid to administer donor-funded scholarships, which includes endowed and current-year scholarships.

  • Track, update and communicate scholarship information to all relevant internal and external constituents.

  • Serve as a guide for campus departments in administering funds according to donor intent.

  • Create opportunities that increase the engagement of students with their donors.

Donor Relations:

  • Serve as a point-person for development officers seeking assistance with deepening relationships with DePaul donors.

  • Participate actively in departmental planning and goal-setting, and work collaboratively with other Donor Relations team members to assure the fulfillment of departmental goals.

Performs other duties as assigned.

Education & Experience
  • Bachelor's degree and/or work experience involving analysis and evaluation leading to the development or improvement of organizational policies, procedures or practices.

  • 3-5 years of progressive experience in a development, nonprofit or university setting, with an emphasis in donor relations, stewardship, and/or gift/grant administration.

  • Working knowledge of databases such as Raiser's Edge, Advance or similar.

  • Proficiency in Microsoft Office suite.

Financial Responsibilities
  • Proficiency in philanthropic fund management and reporting, and corporate and departmental accounting practices, procedures and principles.

  • Ensures all projects are completed within established budget.

Certifications & Licenses
  • Ideal candidate will have participated in professional associations such as the Council for the Advancement and Support of Education (CASE), Association of Donor Relations Professionals, Association of Advancement Services Professionals or Association of Fundraising Professionals.

Other Skills & Abilities Reqd
  • Strong organization and time-management skills.

  • Demonstrated understanding of endowments and ability to interpret financial information.

  • Attention to detail.

  • Comfortable with technological tools and able to quickly learn to use multiple databases/systems that track donor and beneficiary information.

  • Committed to highest level of performance.

  • Strong team player who thrives on collaboration .

  • Creative and energetic person who enjoys devising new ways of meaningfully engaging DePaul's donors.

  • Candidate must be focused on the obligation we have to our donors to be good stewards of their philanthropy and a willingness to dedicate time to research best practices.

Additional Information
