The Highlights: The Experiential Learning Coordinator reports to the Assistant Dean of Experiential Learning and is the primary staff professional who manages the administration and operations for the Legal Clinic department and the law school's experiential learning programs. This position will help in planning, organizing and managing educational programs and activities hosted by the experiential learning programs (including the Legal Clinics, Field Placements, Skills Courses and Student Competitions) as well as carry out important operational duties including, but not limited to, managing the registration of students enrolling in the Legal Clinics, maintaining accurate records and case and client files; communications, composing and editing correspondence; data entry; and office management. On behalf of the experiential learning programs, this position provides general administrative support and will be the primary liaison with internal Law departments (Registrar, Law Business Office, Communications, and Operations), other University central departments, and external vendors. The Experiential Learning Coordinator manages two legal clinic departmental assistants and trains new hires as needed.
What You'll Do:
- Manage operations and administration of the Legal Clinic as determined by the Assistant Dean, including, but not limited to: planning, organizing and managing educational programs and activities on experiential learning and legal clinics; maintain records and prepare client and clinic files and documents; assist in managing confidential case matters including correspondence and assist students and faculty in the preparation of time-sensitive court filings and other client documents; obtain research materials; support experiential learning classroom and program needs; distribute mail; draft correspondence; schedule room reservations and organize meetings/events, and handle catering requests; manage communications by maintaining the law clinic and experiential learning websites and newsletters; manage the Legal Clinic case management software; maintain/order supplies and equipment.
- Manage programming and administration for other experiential learning programs, including for Externships and student competitions.
- Supervise clinical staff of department assistants.
- Support student services in the clinic: Manage legal clinic registration of students, in coordination with Student Affairs; maintain registration applications; recording and reporting of student time sheets. Assist students and clients with operational and scheduling issues concerning the clinics.
- Maintain budget and track expenditures/transactions. Maintain Procard and record of Legal Clinics expenses in conjunction with central administration.
- Manage law clinic office including interfacing with external vendors and College and University offices, manage Legal Clinic and experiential program needs, manage the department assistant. Approximately 20% spent on supervisory duties. Manage a department office with a departmental assistant, 6-8 legal clinics with 100-115 students per academic year.
- Oversees budget of approximately $30,000 per academic year (based on annual budget approval process).
- Will be required to assist College of Law Assistant Dean's office with final exam administration each semester.
- Occasionally will be asked to assist with College of Law special events including student recruitment events, seminars, conferences and commencement.
- Bachelors degree (required) as well as five years of office work experience preferably managing an office and staff, ideally in a legal office or higher education setting (preferred).
- Bilingual English/Spanish preferred, though not required.
- Experience with budgeting is preferred.
- Employee should possess excellent communication and computer skills.
- This position requires a patient and detail-oriented person who can interact with a diverse group of faculty, staff and students in a pleasant and cooperative manner.
- Applicant should be able to work under pressure of deadlines.
- Employee should have intermediate proficiency of Word, Excel, and PowerPoint.
- Employee should have sufficient computer skills to be able to input information into a computer case management system.
