The Highlights: Reporting to the Associate Director, the Program Coordinator, Internship & Career Experiences Support will assist the Associate Director with the coordination and implementation of key internship & career experience support services including workshop facilitation, resource development, and coordination of unpaid internship funding support. This position will also assist with administrative tasks associated with all Career & Life Design courses including scheduling courses, managing payroll and hiring, and administratively managing the department's internship course.
What You'll Do:
Internship Plus Scholarship
- Manage the administrative and logistics of the quarterly scholarship in Scholarship Connect. This includes scheduling and setting up the scholarship, setting parameters and deadlines, communicating with Financial Aid, as well as making necessary updates.
- Manage the application process, including coordinating promotion, monitoring applications, communication with students.
- Manage the application review process, including relevant updates to questions / rubrics, overseeing the review committee, and making final determinations on awards.
- Oversee the allocation of funds, working with Financial Aid to ensure timely allocation.
Serve as the primary point of contact for the scholarship, responding to questions about eligibility, the application process, and troubleshooting issues. - Facilitate a quarterly workshops for students to reflect on their work experience, update their resume, and identify talking points about their work experience.
Department of Career & Life Design Support
- Manage CLD course scheduling, including entering courses into PeopleSoft, offer letter creation and distribution, and processing payroll / hiring through HR.
- Administrative oversight for CLD 250: Navigating the Workplace. Including but not limited to: managing the application and enrollment process for CLD 250, communicating with faculty, students, and supervisors, collecting and assessing data from surveys, and supporting students as needed.
- Support the Associate Director in collecting, managing, and assessing CLD enrollment and participation data.
- Support the Associate Director in curriculum updates, content and resource development, as well as department-wide initiatives.
- Support Internship & Career Experience Support student employees in monitoring the CLD email inbox.
Internship & Career Experience Support
- Support the team in the development of career experience resources, including website content, guides and handouts, presentation/workshop decks, and online modules.
- Aid in the development and facilitation of career experience workshops and presentations as needed.
- Bachelor's degree required; enrolled in a graduate program or masters degree preferred.
- 1 to 3 years of experience in higher education or other educational space; administrative experience is a plus.
- Ability to manage and prioritize several projects and timelines concurrently with attention to detail.
- Ability to work independently and interdependently with limited supervision on projects
- Technical skills required include working knowledge of Google Suite, Canva, Microsoft Office. Additional familiarity with D2L, PeopleSoft, and database management, is a plus.
- Ability to learn new software, programs, applications, and processes quickly.
- Strong communication skills--both oral and written.
- Willingness to ask for support or feedback on projects.
- Must be able to work occasional evenings for specific events throughout the academic year.
- Travel between campuses required.
