The Highlights: The Transfer Admission Assistant manages the day-to-day operation of the Transfer Admission Welcome Center on the Loop Campus. Primary responsibilities include: managing student employees, correspondence related to transfer admission inquiries in all forms of communication (i.e. email, telephone, chat, etc.), monitoring the effectiveness of transfer events through regular data analysis, creating new (and enhancing existing) metrics for the purpose of re-evaluating Transfer Recruitment and Admission workflow processes, and collaborating with the transfer counseling team to provide superior customer service for admitted and prospective transfer students.
What You'll Do:
- Manages the day-to-day operations of the Transfer Admission Welcome Center. This includes but is not limited to: supporting the student assistants in addressing admission, course articulation, and overall university questions; having working knowledge of admission and TRAC related procedures to direct students to the appropriate DePaul offices; ensuring calendars are accurate and up-to-date for daily appointments; overseeing deployment of Loop campus tours; maintaining regular inventory of student giveaways, office supplies, and event materials; and the routing of inter-office mail.
- Responds to student inquires through Slate Inbox email/text messages, web chat, and campus phone systems. Connects students to transfer admission counselors and other DePaul offices as appropriate. Manages ongoing and various transfer student assistant call campaigns.
- Hires, trains, and supervises student assistants in their front desk duties, ensuring that they provide superior customer service/interaction with guests while following FERPA guidelines and representing the DePaul University brand. This also includes tracking student worker hours, and year-to-date compensation, to ensure budget goals are met.
- Assists with the building, and regular analysis of, CRM queries, reports, surveys, and other data tables to track effectiveness of transfer visits (both on and off campus), prospective student campaigns, and the success of transfer engagement initiatives in general.
- Executes various projects as needed by Transfer Recruitment, Transfer Engagement, and the Transfer Articulation Center, as well as assisting with the execution of Transfer Admission events.
- Assists in the training and supervision of student assistants with responsibilities related to front desk operations. The number of student assistants can vary throughout the year. Responsibilities related to student assistant management accounts for approximately 20% of the overall duties assigned.
- Assist in tracking student assistant hours, and compensation, to ensure the department stays within budget.
- High school diploma required; bachelor's degree or some post-secondary education, preferred.
- 2-3 years experience in a customer service related role, preferred.
- Experience with Slate (or a similar CRM), preferred.
- Position may require occasional weeknight or weekend availability to support visit programs/events.
