Description

FSA is seeking an Office Manager (OM) for its corporate office. The Office Manager provides a variety of administrative support to FSA's headquarters office and the Executive Leadership Team. The corporate OM is an accomplished self-starter who can manage multiple diverse assignments while maintaining a professional demeanor

Essential job functions include but are not limited to:

  • Exercise judgment, initiative and tact to make administrative decisions and take action on behalf of management with knowledge of the organization, and in accordance with established guidelines, procedures and policies.
  • Plan, prioritize and carry out special projects and complex assignments.
  • Foster a welcoming environment that is presentable to employees, customers and guests that includes but not limited to cleaning, sanitizing, decorating meeting or office spaces.
  • Create an office environment that connects a hybrid telework workforce bringing some of the amenities from home to the office (e.g., weekly lunches, snack bar, personal connection, clean workspaces, etc.).
  • Serve as the point of contact with building management submitting service calls, escorting vendors, coordinating emergency evacuation training, obtaining vendor approvals, etc.
  • Manage the reception desk, answers, and directs calls/emails, handle incoming and outgoing deliveries/mail, welcomes visitors, and oversees the visitor experience. Establishes and maintains the office budget, monitors supply levels, and places orders as necessary.
  • Coordinate with vendors for deliveries and services to include, but not limited to, shredding services, cleaning services, HVAC maintenance, copier maintenance, and office supplies.
  • Organize and facilitate major company events engaging with venues, employees and vendors for annual conferences, holiday parties, and executive field visits.
  • Develops office policies and procedures, and ensures they are implemented appropriately.
  • Provides timely verbal and written communications and status updates to internal stakeholders.

Tasking from FSA's corporate departments may include but not be limited to:

  • Partner with the Finance Division to maintain and adjudicate purchase requests, check deposits, invoices, and asset management activities.
  • Partner with the Administrative Division to update FSA's organization charts monthly, assist with the development and maintenance of communication assets and platforms to include FSAConnect, maintain postings on the company notice board, perform outreach to candidates and employees as requested in support of Employee Acquisition and Human Capital activities, coordinate new hire orientation training for indirect personnel.
  • Additional duties as required.


Requirements

Minimum Educational Requirements

  • High School Diploma/GED required

Skills/Qualifications Required

  • 3-5 years of experience working in a fast-paced administrative role that requires making discretionary decisions. Experience working for a Government Contractor preferred.
  • Demonstrates a high level of customer service and confidentiality. Professional, courteous, and helpful demeanor.
  • Strong oral and written communication skills, including the ability to communicate appropriately with stakeholders at all levels.
  • Excellent organizational skills and attention to detail, with the ability to multi-task and prioritize critical items.
  • Results driven with strong attention to detail and problem-solving skills.
  • Models' efficiency and demonstrates ability to determine what works best of the office.
  • Ability to work under pressure and meet tight deadlines.
  • Intermediate MS Office skills. Advanced skills and experience with SharePoint a plus.
  • Adobe Acrobat skills a plus.

Other Requirements

  • This is an in-office position with only a limited ability to telework.  Candidates available to work full-time are preferred but consideration would be given to part-time at 30 hours with a core schedule of 9AM to 3PM daily.
  • Experience working with executive management and/or Board of Directors.
