Description

The Imagery Production Specialist is the process expert ensuring efficient and seamless execution of video and photo productions. This role develops a production strategy based on client needs and then manages comprehensive budgets, oversees contracts and payments, coordinates production logistics, and tracks and reports all related costs. The role also supports on-set operations, facilitates cross-department collaboration, and implements streamlined workflows to maintain organization and deliver high-quality results.

Duties and Responsibilities

  • Develops a production strategy based on both client needs and the vision of the Creative producer
  • Partners with Producer to prepare and vet project budgets, draft relevant production schedules and timelines.
  • Leads or assists with the search and hire of key freelance production staff as required.
  • Determines and sources quotes from key vendors.    
  • Maintains records/files for all completed and in-progress work, including contracts, SOWs and MSAs.      
  • Coordinates and organizes production and post-production budget tracking (both hard and soft costs), finance inquiries, vendor management, legal paperwork, and Accounts Payable.       
  • Tracks and manages all costs, keeping the Producer apprised of status regularly.       
  • Assists with project tracking in applicable Production Management software.  
  • Manages all logistical needs for productions, including location scouting, permitting, hiring and onboarding freelancers, releases and other crew needs as required.  
  • Creates call sheets and distributes to appropriate parties in a timely manner.         
  • Ensures productions run smoothly, remains safe, meet deadlines and stay within budget.         
  • Ensures a project is successfully wrapped and all accounting is routed to the Producer for actualization.      
  • Problem solves as issues arise throughout the production and establishing an open dialogue with the entire production team both internal and external.    
  • Helps manage project flow from start to finish, including hiring, managing, and coordinating all aspects of field production.       
  • Build and prep art sku's for each project (photo and video)        
  • For Photo Team: negotiate, lock in, and coordinate locations, rental houses, freelance contractors, source talent, crew, and permits.           
  • Lesion between head of safety and our team, to make sure we are complying with most up to date safety codes on set.       
  • Assist in breakdown of scripts, storyboards, and shoot schedules for budgeting
  • Implemented a streamlined system for the photo team by setting up shoot trackers and utilizing Google Forms. This initiative enhances scheduling efficiency and ensures smooth coordination during on-the-day operations.            
  • Assist photo producer with processing and tracking payroll for crew   
  • Take on the role of on-set audio engineer, manage and optimize sound recording processes, utilizing and expanding sound software to ensure high-quality audio capture during shoots. This role focuses on delivering sound recordings that meet or exceed the editor's requirements for every project.
  • Assist lighting set ups for DP on shoot days, to make the day go faster and smoother.
  • Be the lesion in between departments: QA, Store environment, AR, ect.

Requirements

Education and Experience

Education Requirements
  • Minimum 2 Year / Associate Degree in video production or related field
  • Preferred 4 Year Bachelors degree a plus

Years of Experience
  • 4 years minimum experience in a Production Coordinator or similar role
  • 2 years of experience working with third-party partners and working cross-functionally with internal departments and teams.
  • 2 years of experience managing and planning health and safety assessments for large shoots and field crews.

Skills
  • Strong Project Management skills.
  • Proficiency in PC and Mac OS platforms, Microsoft Word/Excel
  • Experience using Workfront is strongly preferred
  • Strong organizational skills and attention to detail
  • Excellent communication and time management skills
  • Ability to prioritize and multi-task in a fast-paced environment
  • Flexible team-player who also works well independently
  • Proactive and quick learner with a positive attitude towards his/her work· Must be extremely versatile and should be experienced with a variety of different production formats.
  • Strong organizational skills and attention to detail.
  • Great organization habits and multitasking skills, managing multiple projects.

Physical Requirements
General office environment requiring ability to:
  • Stand, walk, sit for extended periods of time.
  • Speak and listen to others in person and over the phone and video conferencing.
  • Use keyboard and read from computer screen and reports.
  • The ability to lift up to 15 lbs.
