Kamehameha Schools is searching for a Facilities Manager to join our Support Services department on Maui. The ideal candidate is service and solution-oriented with proven experience in facilities and project management, and skills in website and social media engagement.

Job Summary

Position is responsible for providing facilities and operational support to the regional office and other facilities as designated by KS leadership. Facilities and operational support includes planning, developing and implementing a facility procedures and protocol, preventative maintenance program, service vendor management, building and fostering provider relationships in support of the delivery of the educational and asset development requirements within the region and in coordination with Facilities Development and Support Division (FDSD).  Manage effort to ensure delivery of facility and operational services are aligned to organization's mission and strategic plan. 

Essential Responsibilities

Facilities Management

  • Develops and maintains a system–wide facilities management strategy for the regional office and other regional facilities as applicable. 
  • Other responsibilities include 1) develops best practices guidelines and/or operational procedures for facilities management, 2) researches, establishes and tracks metrics according to accepted industry benchmarks and practices and 3) conducts, records and documents annual Facilities Assessment Report. Provides facilities and operational support services to providers, collaborators, and KS staff located at the regional office.
  • May manage a lease of Provider portfolio with the following responsibilities, 1) upon direction of Leadership Team, negotiates new site leases, 2) develops and foster relationships with providers and collaborators, 3) enforces facility rules and regulations.

Preventative Maintenance

  • Manages, directs and oversees Third Party Management (TPM) in conjunction with FDSD and service vendors to ensure efficient delivery of services. 
  • Develops and maintains a proactive preventive building and grounds maintenance program.  
  • Responsible for the procurement of building services required to implement the region's maintenance program in accordance with KS policies and procedures

Service Agreement Negotiations and Administration

  • Responsible for managing a portfolio of service agreements which involves, 1) Develops (determine scope of work and appropriate frequencies of service) RFP for bidding out multiple service vendor agreements, 2) Responsible for developing, implementing and enforcing quality of service levels (QOS) with contracted vendors, and 3) Works with Procurement to bid, evaluate, and award various service agreements.

Safety and Compliance

  • Develops, implements and maintains protocols and procedures to ensure compliance with federal, state, and county regulations including OSHA, EPA, HIOSH and the Department of Health. 
  • Conducts and coordinates regular routine inspections of all buildings, facilities and equipment to ensure compliance with general and specific safety standards; reports non-compliance and/or hazardous conditions, and recommends remedial action as appropriate.
  • Monitors and inspects fire, safety, and environmental equipment and facilities for serviceability and compliance with established regulations, policies and standards.
  • Develops and maintains detailed records to include inspections and locations of potentially hazardous areas. Recommends improvements to the facilities to address safety and compliance concerns for inclusion in the Major Repair/Capital Improvement Projects (MR/CIP) budget request.
  • Identifies corrective actions that require immediate action to due to the level of health and safety and/or code compliance issues which may require a request for funding from the capital contingency fund. 
  • Conducts on-site investigations of accidents and incidents involving fire, hazardous materials, unsafe situations, and/or non-compliance issues; prepares reports and makes recommendations for procedural changes as necessary

Planning and Support

  • Provides support to regional plan in related activities or initiatives, including technical consultation, planning initiatives, education specifications and programming, feasibility studies, and assessments of facilities and real property.
  • Supports long-range capital planning/forecasting, and cross trains to effectively manage the organization's Facilities Management plans, including proactively managing and updating KS – owned CMMS databases comprised of FAME and TMA.

Financial Management and Lease Administration

  • May be responsible for the following financial and budgetary areas of responsibilities; 1)  Operational and Capital Budget.  
  • Occasionally performs various financial and fiscal duties as follows:  1) Performs monthly variance reports used to explain discrepancies with actual to budget trends.  2) Responsible for region's annual operational budget; determine budget spend for input into overall CEI annual budget. 
  • May serve as primary point of contact between staff, service vendors, and collaborators in response to day to day lease issues or questions.
  • May be responsible for lease administration duties which include, 1) lease re-negotiations, 2) lease renewals, 3) rent and CAM escalations and negotiations, 4) exercise options, and 5) lease terminations as required.

Planning and Support

  • Manages fleet and asset operations and records. May develop, implement, and oversee system to manage fleet and assets.
  • Develop, monitor, and coordinate timely maintenance and reports for proper support of work, program, and department requests.
  • May perform a variety of operational support tasks requiring a degree of physical exertion to include but not limited to: custodial, ground maintenance or building maintenance.

Position Requirements

Minimum Qualifications - an equivalent combination of education and experience may substitute for the requirements listed.

  • Bachelors Degree in Business/Project Management, Operations Management, or other related field.
  • Minimum 3 years of direct experience in facility management, asset management, or other related field. 
  • Experienced at overseeing vendors, contractors, and work sites.
  • Ability to travel in one's personal vehicle may be necessary. 
  • Must have high computer competency, including email, Word, Excel, Power Point and Office.
  • Requires both verbal and written communication skills to convey information timely and to all levels of employees, customers, clients and internal associates.
  • Must be organized and self-motivated.
  • Must be able to work independently with little or no supervision.
  • Must be flexible and willing to tackle any situation.
  • Must demonstrate a willingness to work with many different persons who have vastly different education and skills.
  • Must have the ability to identify problems and issues and to work toward solutions.
  • Must have current and valid driver's license.
  • Flexibility to respond to urgent situations and emergencies at any time.

Preferred Qualifications

  • Familiarity with work management systems.
  • Familiarity with Local, State, and National safety guidelines and regulations.
  • Sensitivity to and knowledge of Hawaiian culture and values.

Physical Requirements

  • Frequently sit, perform desk-based computer tasks and grasp light or fine manipulation, talk or hear.
  • Specific vision abilities required include close vision, peripheral vision and ability to adjust focus. 
  • Occasionally stand and walk, write by hand, and lift, carry, push and/or pull objects that weigh up to 50 pounds.
  • Occasionally twist, bend, stoop, squat, kneel, crawl, climb, reach or work above shoulder, or grasp forcefully.

Working Conditions

  • This position may involve traveling to various locations, including neighbor islands to conduct business.
  • Work is conducted in an office environment and may require work to be conducted in non-standard workplaces.
  • Work is typically conducted Monday through Friday at normal business hours but evening and weekend hours are often required to meet goals and objectives.
