The Materials Management Coordinator will provide support with all medical supplies, equipment for hospital departments, receives, stores, controls and delivers materials, equipment and supplies to various hospital departments. This position is responsible for the purchasing and procurement of supplies and equipment for the hospital departments. The Materials Coordinator is responsible for the development and maintenance of customer relations between Surgical Services Department, materials management, and physician offices. It is responsible for incorporating purchasing knowledge with established standards of practice. This position ensures quality and safe patient care through the procurement of appropriate products in a cost effective manner. The Materials Coordinator works in collaboration with the management team to meet the procedural supplies and equipment needs for all patients. This position is also responsible for working with vendor to ensure a good relationship between vendor and the hospital.

The Materials Coordinator is responsible for the development and maintenance of customer relations between Surgical Services Department, materials management, and physician offices. The Materials Coordinator works in collaboration with the management team to meet the procedural supplies and equipment needs for all Keck Medical Center of USC patients. This position is also responsible for working with vendor to ensure a good relationship between vendor and the hospital.
Essential Duties:
- Support the coordination and management of the operational systems in supply chain, receiving, and distribution that complement the delivery of care to the patient.
- Coordinates timely ordering and receiving of all direct and non-direct delivery items. Ensure that items are properly received and distributed.
- Consistently communicates the updates on all orders to the appropriate source.
- Maintains accurate records ensuring all procurement activities are reconcilable with Accounting.
- Coordinates and ensure appropriate controls are in place to protect the assets of the facility and control expenses.
- Runs usage reports monthly to maintain accurate inventory par levels and making recommendations to Material Management on non-usage items to be removed from inventory.
- Works closely with operating room management to establish new product par levels.
- Assists in Materials Management to ensure the appropriate mapping of products to the correct financial subaccount.
- Establishes and maintains a process for tracking high dollar supply items, then reports to finance on an as needed basis.
- Coordinates and integrates department services on intradepartmental, interdepartmental, and facility levels.
- Works closely with the Manager and IT to maintain departmental software programs.
- Updates new items, CDM numbers and bin locations to ensure accurate cross matching between IT Systems.
- Assists and participates in the establishment and coordination of performance improvement and quality control activities which support the department and the facility.
- Make recommendations to Materials Management and Surgical Service management regarding cost savings opportunities and process improvements.
- Assist in providing orientation and training to staff.
- Responsible for coordinating and monitoring the space/resource requirements and utilization of outside resources.
- Responsible for maintaining communication and documentation for the storage of all supplies.
- Ensures recommended orders are performed daily to maintain inventory levels with minimal stock-outs.
- Performs cycle counts per hospital requirements
- Places orders, matches incoming supplies to packing slips and receives items per protocol.
- Acts on concerns or issues immediately rectifying the situation, while maintaining open communication with the Manager.
- Performs other related duties as assigned.
- Maintain appropriate par level for all Surgical Service locations utilizing Materials Management systems.
- Process recommended orders using Materials Management generated list.
- Maintain all additions and deletions to par level locations as required.
- Report all receipt discrepancies to the Buyers and supervisors in the department.
- Rotation of all supplies to minimize outdating of supplies. Monitor for outdated supplies.
- Notify supervisor of any back orders in a timely manner to insure stock availability at all times.
- Perform daily functions associated with count verification of all Surgical Services locations, to insure all par level counts are correct. This involves daily walkthrough of Surgical Service par level locations before placing orders.
- Verify that all Surgical Services supply is clearly labeled, including materials management number and bin location.
- Process all Surgical Services receipts, verify the order is correct.
- Maintain Surgical Services supply areas in a neat and orderly manner on a daily basis.
- Ensures required recommended orders are performed daily and as needed to maintain needed par levels to supply Surgical Services minimizing stock outs. Ensure overstock is returned timely.
- Perform other duties as assigned.
Required Qualifications:
- Req High school or equivalent
- Req 2 years Minimum of two years' hospital experience in the OR/ Materials Management.
- Req Thorough knowledge of all medical supplies utilized in the medical facility.
- Req Knowledge of sterile technique as it applies to supply handling.
- Req Ability to speak, read and write English.
- Req Displays behavior conducive to excellent customer service.
- Req Knowledge of Inventory Management, Clinical Documentation inventory control and contract compliance.
- Req Demonstrated ability skills in problem-solving.
- Req Strong organizational and time management skills.
- Req Ability to operate computer and proficiency in Microsoft Office.
Preferred Qualifications:
- Pref Knowledge of computers and how they work in a Material Management setting preferred
- Pref Surgical Technologist - CST CSPD or Surgical Tech certificate preferred.
Required Licenses/Certifications:
- Req Fire Life Safety Training (LA City) If no card upon hire, one must be obtained within 30 days of hire and maintained by renewal before expiration date. (Required within LA City only)
The hourly rate range for this position is $25.00 - $39.69.
