Job Title: Admin Assistant/ Branch Office Support Specialist (Temp to Hire)
Location: Gilbert, AZ
Work Schedule: Monday – Friday, 9:00 AM – 5:30 PM
Availability: Weekend work required as needed
Pay Rate: $20.00 per hour

Position Overview

The Branch Office Support Specialist will play a key role in supporting daily branch operations and the Branch Manager. This position requires a customer-focused individual who is comfortable working both independently and as part of a team to ensure seamless office and patient interactions.

Essential Duties and Responsibilities
  • Collaborate with the Sales team to complete patient documentation requirements
  • Serve as the first point of contact via telephone and in-person reception
  • Process intake information, review ACIS screens, and confirm delivery appointments
  • Conduct post-delivery work order confirmations and perform data entry tasks
  • Assist with patient Positive Airway Pressure (PAP) classes, assemble paperwork, and perform non-licensed functions as defined by policy
  • Download data from medical devices (apnea monitors, oximeters, CPAP devices, etc.) and perform equipment functional tests as required
  • Manage audit and documentation requests
  • Support the overnight oximetry program
  • Collect credit card and billing information as needed
  • Assist with patient scheduling
  • Scan, file, and fax patient records on a routine basis
  • Aid in the preparation of patient equipment and support warehouse functions
  • Instruct patients on equipment setup/returns, complete related paperwork, explain insurance and out-of-pocket expenses, handle payments, retrieve equipment from warehouse, and reconcile daily receivables
  • Conduct outbound customer satisfaction calls as needed
  • Order office and inventory supplies
  • Perform additional duties as assigned
Qualifications
  • High School Diploma or GED required
  • Minimum of 2 years office-related experience
  • Strong interpersonal, communication, and organizational skills
  • Ability to handle confidential information with professionalism
  • Proficiency in office software and equipment
  • Detail-oriented, adaptable, and able to multitask in a fast-paced environment
