Kelly is currently seeking an Administrative Assistant for a 3-6 month contract in the Sugarland, Texas area! The Administrative Assistant provides administrative support to the Sugar Land Office including, but not limited to: oversees events and meetings, maintains the condition of the office, serves as the Safety Warden, coordinates with all functions and departments as needed to ensure smooth operations, and provides general administrative support to internal and external parties as needed in a manner that reflects positively on the company. This role utilizes knowledge of company procedures and Sugar Land Office equipment and supplies to ensure that all required administrative tasks for the office are completed in an efficient and timely manner.

Principal Accountabilities

  • Use MS Office, SAP and other software as necessary to prepare reports, procedures, letters, presentations and other documents, as required
  • Participate in and attend meetings as directed (facilitate, take notes/minutes, keep time as required);
  • Coordinate mail/courier pickup and delivery
  • Ensure administrative activities are aligned with team goals
  • Conduct an annual compliance review – this will include the distribution and collection of employee self audits
  • Verify that all records in the offices and storage areas have been reviewed and disposition made by the custodian of these records
  • Coordinate and work with Human Resources to ensure that audits are conducted for employees/contractors leaving the Sugar Land Office
  • Create purchase requisitions to purchase equipment and supplies as required
  • Establish and maintain internal department distribution lists, evacuation lists, bulletin boards, etc.
  • Return/order workstations and/or desk phone connections and/or company-issued cell phones
  • Coordinate and mange relationship with American Chemistry Council
  • Coordinate annual American Fuel & Petrochemical Manufacturers conference logistics and any other business conferences as directed
  • Screen and distribute incoming calls, emails, and mail
  • Assist in coordination and management of all Sugar Land Office events, including, but not limited to, meetings, holiday parties, volunteer events, executive visits
  • Coordinate Sugar Land Office leaders' travel as needed, and coordinate local travel needs for visiting leaders
  • Manage Sugar Land Office contracts, including, but not limited to, office lease, cell phone, floral services, internet and telecom, and beverage vendors
  • Serve as liaison between Sugar Land Office and building management and all vendors providing services to the office
  • Prepare and manage office budget, office calendar, expense reports and any projects as directed by leader
  • Serve as a Safety Warden of the Sugar Land Office: maintain all safety related equipment and supplies, hold regular safety meetings, and communicate with first responders if and as needed
  • Send out communications regarding the Sugar Land Office
  • Assist IT function as required in maintaining a fully functional service in the Sugar Land Office.

Knowledge, Skills and Experience
  • Minimum of 5 years previous experience in an Office Professional role is preferred
  • Advanced level of application expertise with MS Office products (Excel, Word, PowerPoint, Outlook, SharePoint, Office 365)
  • HS Diploma required, Associate's Degree or higher preferred
  • Ability to multitask, possesses excellent communication skills and quick learner
  • Must be able to work with sensitive information and maintain confidentiality
