Direct-Hire Opportunity: Investment Advisor Administrative Assistant

Location: San Juan, Puerto Rico
Employment Type: Full-time
Compensation: $30,000/year
Reports to: CEO / Advisory Team Lead

Role Overview:
We are seeking a highly organized, proactive, and detail-oriented Investment Advisor Administrative Assistant to support our advisory team. In this role, you will act as a bridge between clients, advisors, operations, and other stakeholders—ensuring smooth client experiences and efficient internal operations.

Key Responsibilities:

  • Serve as the primary contact for client inquiries via phone, email, and in-person
  • Manage advisor calendars: schedule meetings, conference calls, prepare materials
  • Prepare and distribute client correspondence, reports, and presentations
  • Assist with onboarding: opening accounts, processing documentation, compliance forms
  • Collaborate with operations/back-office teams to initiate and monitor trades
  • Maintain client and prospect databases/CRM, ensuring data integrity
  • Generate and analyze regular and ad-hoc reports (performance, billing, summaries)
  • Coordinate travel arrangements and expense reimbursements for advisors
  • Assist with marketing, newsletters, mailings, and event coordination
  • Execute administrative tasks: filing, scanning, office supplies, document management
  • Support projects and special initiatives as needed
Qualifications/Requirements:
  • Bachelor's degree preferred (or equivalent experience)
  • 2+ years in administrative support (preferably in financial services/wealth management/investments)
  • Strong proficiency in Microsoft Office (Excel, PowerPoint, Word)
  • Experience with CRM systems or financial planning tools is a plus
  • Excellent verbal and written communication skills
  • Strong organizational skills: multitasking, prioritizing, meeting deadlines
  • High level of discretion, professionalism, and ability to handle sensitive information
  • Comfortable working collaboratively across multiple teams
