Administrative Coordinator
Location: Ballston Spa, NY (Onsite)
Schedule: Part-time – 20-30 hours/week
Pay Rate: $22.00/hour to start
A well-established construction company is seeking a reliable and detail-oriented Office Coordinator/Receptionist to manage front desk responsibilities and provide general administrative support. This individual will play a key role in maintaining a professional and organized office environment while supporting field and office teams with day-to-day operations.
Responsibilities:
- Greet and assist visitors, vendors, and employees in a courteous and professional manner
- Answer and direct incoming phone calls using a multi-line phone system
- Manage incoming and outgoing mail, packages, and deliveries
- Provide administrative support including scanning, copying, filing, and data entry
- Assist with scheduling meetings, conference calls, and coordinating office events
- Support HR and project teams with document preparation and onboarding paperwork
- Maintain office supply inventory and assist with vendor coordination
- Ensure compliance with confidentiality and internal administrative procedures
Qualifications:
- 2+ years of experience in a receptionist, administrative, or office coordination role
- Strong communication and interpersonal skills
- Proficiency with Microsoft Office Word, Excel, Outlook Ability to prioritize tasks and manage time effectively
- High level of attention to detail and organizational skills
- Comfortable working in a fast-paced, team-oriented setting
- Ability to handle sensitive information with professionalism and discretion
