Job Title: Customer Service Coordinator
Location: Malden, MA
Reports to: Service Manager
Schedule: 7:00 AM - 3:30 PM (In Office)

Job Summary:
The Customer Service Coordinator will maintain day-to-day operations for the service team by performing a variety of administrative tasks. This role involves providing superior customer service by receiving incoming calls and emails and dispatching service technicians to the appropriate locations while managing installations and removals in coordination with the internal sales team and customers.

Essential Functions and Responsibilities:

  • Accurately generate work orders for technician visits.
  • Review all open work orders and dispatch technicians in local areas to ensure timely customer resolution.
  • Conduct follow-up calls with customers and schedule return trips with technicians as needed.
  • Contact customers to schedule equipment installations and removals.
  • Respond to customer requests via phone and/or email daily.
  • Maintain, organize, and file work orders, visitor logs, and loan agreements.
  • Manage internal vendor pricing and customer-specific price lists.
  • Handle billing of services performed for appropriate customers.
  • Work with technicians to validate work order accuracy and processing for inventory.
  • Manage multiple email inboxes for internal and external communications.
  • Follow all safety procedures and participate in safety training.
  • Maintain safe and efficient use of equipment, tools, and personnel.
  • Report any injury or accident immediately and notify supervisory of any unsafe conditions.
  • Support and comply with GMP (Good Manufacturing Practices).
  • Understand and follow the emergency action plan.
  • Perform other duties as assigned.
