Document Management Administrator (DMA)
Roles and Responsibilities
- Maintain electronic file shares and departmental libraries in compliance with Dow's Global Record Manual retention guidelines.
- Coordinate document slotting and movement for both newly created and revised documentation.
- Collaborate with ODMS Element/Section Owners to maintain relevant documents and records for each section.
- Demonstrate active ownership of file shares and libraries by participating in periodic audits, addressing identified gaps, and ensuring gap closure.
- Serve as the Element Focal Point for ODMS 05.03.03 Document and Records Management:
- Conduct gap analyses and implement closure actions based on self-assessment.
- Work with the department ODMS Coordinator to ensure compliance with all requirements.
- Provide input on Document & Records Management during departmental Management System Reviews (MSR) as needed.
- Attend or participate in departmental staff meetings, when appropriate.
- Monitor physical libraries and drop boxes weekly within the department.
- Communicate EDMS reviews and overdue items to department personnel and leadership at least once per month.
- Be accessible to all department employees, spending time in work areas such as control rooms, administrative buildings, libraries, or satellite libraries as needed.
- Provide training and coaching on the DMS to Section Owners and Users.
- Ensure department personnel are aware of your contact information (e.g., office phone extension, email address, accountability board, as required by policy).
- Familiarize yourself with department work areas to assist users with locating procedures, records, and other materials.
- Manage your time and work responsibilities professionally and respectfully, in accordance with Dow's Respect and Responsibility Policy.
