Position Summary:
Under the general supervision of the department Supervisor, operates the automated addressograph and labeling machine. Updates and maintains various name and address files for providers which include Board of Directors, Health Plan, vendors, etc. Will prepare completed forms for providers for delivery or mailing. Applies labels to claim forms for providers for delivery or mailing. Applies name and address labels to claim forms for providers and prepares for mailing. As necessary, makes adjustments to computer, labeler and printer name and address and performs machine adjustments to computer, labeler and printer and performs machine maintenance. May also perform the duties of Mail Processor that involves the receipt, sorting, batching and delivery of corporate mail. Perform duties related to mail room workflow to include processing of incoming bill payments, sorting of MSA, manual output and other mail stuffing projects.Under the general supervision of the Assigned Management, this position performs mail processing duties that involve processing incoming and outgoing corporate mail. The position may perform additional functions depending on region.
Essential Responsibilities/Accountabilities:
- In accordance with established procedures, sets-up and operates the automated addressograph and labeling machine. Selects options from a master menu and updates various names and address files such as providers, Health Plan, Board of Directors, etc
- Imprints providers name and address on claim forms, sorts and prepares for mailing. Loads labels and envelops into labeling machine and applies printer generate 1-up pressure sensitive labels onto envelops, newsletters, etc
- In accordance with established procedures, opens, sorts and batches incoming and returned mail. Sorts and stuffs MSA output for courier delivery or first class mail. Is responsible, as directed by the supervisor, for daily manual stuffing projects and mass mailings
- In addition, performs duties of Mail Processor. In accordance with established procedures relative to unrestricted mail, opens, sorts, batches and delivers mails to respective departments. Sorts and delivers restricted mail to person or departments designated
- As workload permits and departments schedules require, assists with other work Level I ? All Regions
- Sorts all incoming mail and packages according to the proper department- Delivers on a timely basis all incoming mail and packages
- Obtains signatures for verification of receipt of all special delivery (i.e. UPS, Fed Ex) packages
- Using automated equipment, folds, inserts, and seals for delivery all monthly bills, notices, etc
- Processes all outgoing mail through automated mailing equipment and meters
- Prepares non-metered mail for processing by third party vendors- Performs manual insertion and metering
- Performs manual presort of books and letter jobs.
- High school education or equivalent (GED/Vocational experience) with mail room/ data processing experience preferred
- Must have good visual acuity and manual dexterity and be able to stand, sit or walk for prolonged periods of time
- Excellent typing skills
- Good communication and interpersonal skills a must
- Superior attention to detail
- Must be computer literate in Microsoft Office, Lotus Notes, as well as equipment driven programs
- Required to work in group as well as individual settings
