Exciting Career Opportunity: Sales & Accounting Assistant
Location: San Juan, PR
Type: Full-time - Direct Hire
Reports To: Controller

Position Summary:

We are looking for a detail-oriented and proactive Sales & Accounting Assistant to join our client dynamic team. This dual-role position will allow you to showcase your organizational skills in both sales and finance, focusing on client invoicing, managing billing operations, processing deposits, and maintaining accurate records for music and subscriptions. The ideal candidate will also perform sales responsibilities, provide financial support, and assist with everyday administrative tasks to ensure seamless operations.

Key Responsibilities:

Sales Functions:

  • Draft and finalize invoices and quotations, detailing item specifications.
  • Ensure timely delivery of invoices to clients and manage deposits in QuickBooks.
  • Monitor KPIs: 15-20 invoices daily, 200 monthly, and track recurring invoices for services.
  • Enter invoices in client-specific portals using Excel and in-house programs.
  • Training provided for in-house program utilization.
  • Follow up on timecards and track records.
Accounting Functions:
  • Prepare and send client invoices, request and track purchase orders, and maintain client billing info.
  • Deposit payments remotely and record transactions in QuickBooks.
  • Assist with data entry, document filing, and maintain financial records for monthly and quarterly reporting.
  • Communicate with clients regarding billing inquiries or discrepancies.
  • Support the finance team with analysis and other accounting tasks.
Requirements:
  • Bachelor's degree in accounting or a related field.
  • 1 to 2 years of accounting or finance experience; prior experience in sales is a plus.
  • Proficiency in Microsoft Office Suite, particularly Excel, and experience with QuickBooks.
  • Strong organizational, time management, and communication skills.
  • High attention to detail and accuracy.
  • Preferred: Bilingual in Spanish and English.
