Job Summary

Reporting to the Director of Laboratory and the Administrative Laboratory Director, the Administrative Laboratory Manager is responsible for helping to formulate strategic laboratory goals and objectives, assist with development of policies and protocols to improve the department's overall performance, and to monitor progress toward achieving organizational goals. The Administrative Manager works closely with the Laboratory Leadership team, Technical Coordinators and Supervisors to maintain inventory control and procure needed supplies and resources through contract management and assist with regulatory agency compliance. The Administrative Laboratory Manager assists with preparation of budgeting and ongoing monitoring of reports for optimal performance and efficiency. As a member of the Laboratory Management team, the Laboratory Operations Manager will work closely with the Laboratory Medical Director, Associate Pathologists, the Administrative Laboratory Director, Operational Laboratory Managers and all technical section supervisors as a liaison with our customers serving on interdisciplinary committees as needed.

Minimum Qualifications

Minimum Education: Bachelor's Degree in health-related or business field
Minimum Years of Experience: 2 years of work experience in an administrative, supervisory or lead capacity
Substitutable Education & Experience (Optional): Master's Degree in health-related or business filed with 1 year work experience in an administrative capacity OR has at least 1 year of prior supervisory or lead experience in a medical or physician practice setting, and has successfully completed the LMC Fellowship (or is within the acceptable interview period with successful completion pending); 
Master's degree with 1 year of prior supervisory or lead experience in a physician practice or related medical setting (successful completion, or within the interview period with successful completion pending, of the LMC Fellowship may be counted as the 1 year of supervisory/lead experience). 
Required Certifications/Licensure: None.
Required Training: Knowledge of current medical terminology, ICD and CPT coding practices; Knowledge of computers, specifically related to healthcare needs, such as word processing and spreadsheet applications; Familiarity with financial reports and performance indicators. 

Essential Functions
  • Responsible for active participation with the Laboratory Management team in developing and implementing goals and objectives of the laboratory, coordinating these with goals and objectives of the hospital. Demonstrates competence to provide developmentally appropriate care/treatment for the following patient population: Infant (Birth to 1 year), Child (1 year through 12 years), Adolescent (13 years through 17 years), Adult (18 years to 65 years) and Geriatric (over 65 years). 
  • Assists the Laboratory Leadership team with ensuring the smooth operations of the laboratory by helping with recruitment, retention and management of laboratory personnel though coaching, mentoring and ongoing leadership training for these individuals to help them be successful in their roles.
  • Provides appropriate channels of communication for the receipt and delivery of incoming and ongoing laboratory information. Participates in staff meetings, huddles, one on one discussions as needed to effectively and professionally communicate with all laboratory staff. 
  • Maintains knowledge of department metric goals and actual performance, collaborates successfully with Lab Leadership team to coordinate department activity to achieve metric goals.
  • Demonstrates effective problem solving skills and follow through. Provides advanced problem solving, troubleshooting, and assists with connecting consultations as needed to support the Lab Leadership team and daily operations of the laboratory.
  • Responsible for contract oversight and maintenance for the laboratory and lab services across the district.  
  • Responsible for establishing and maintaining an inventory control system to ensure constant and adequate stock of laboratory supplies to provide continuous and uninterrupted testing services. Approves and monitors emergency orders for coordination of inventory control system. Ability to utilize effective management, influencing skills both internally and externally to ensure successful partnership that meets lab services across the district.  
  • Uses test utilization reports to actively seek ways to control costs without compromising patient safety, quality of care or the services delivered. Assists the Administrative Laboratory Director with management of labor productivity and cost per test.
  • Responsible for successful collaboration with the IT Team to ensure that both HIS and LIS needs are met for the Laboratory.  Enters Change Control Tickets as needed to improve processes both within the lab and across the network.  Requests reports required to capture and track data for performance monitoring and process improvement.  
  • Responsible for monitoring procedure performance acceptability through data metrics and quality assurance program for evaluation. Submits data to the Administrative Lab Director for consideration of staffing modifications, procedure changes or purchase of new equipment; works with Lab Leadership team to establish a reasonable and realistic implementation timeline when changes needed. 
Duties & Responsibilities
  • Assists the Administrative Laboratory Director with establishing and monitoring budgets for the laboratory departments. Prepares regular operations reports for each lab section reflecting the quality, volume, efficiency and development of technical operations. Reports also include staffing turnover and overall morale of teams. 
  • Assists laboratory management team in the development of annual personnel, expense, and capital equipment budgets. Assists the Administrative Laboratory Director with requesting all approved, budgeted capital equipment and supplies, insuring their proper incorporation into appropriate laboratory usage. 
  • Responsible for investigating and responding in a timely manner to physician/medical staff, Administration, other LMC employee or patient questions or complaints regarding laboratory testing services and consults with the director of laboratories, associate pathologists and laboratory section supervisors for proper solutions to complaints and operational problems.  Communicates with an appropriate level of professionalism and with courtesy and respect to all laboratory customers.
  • Focus on customer satisfaction (inpatient, outpatient and client) looking for opportunities to better serve our community.
  • Assists the Administrative Laboratory Director in on-going coordination of laboratory technical activities and operations with other hospital departments and designated affiliated laboratory services, serving as liaison on appropriate hospital committees as directed. 
  • Shares responsibility with the technical section supervisors in the coordination and communication regarding testing services performed by the three laboratory shifts involving all laboratory sections. 
  • Shares 24 hour call system with the Administrative Laboratory Director and section supervisors as appropriate.   Participates in coverage of the Daily Operational Supervisor schedule to provide 7 day week leadership coverage of the laboratory.
  • Assists with payroll/timekeeping for all lab sections.
  • Performs projects relative to improvement of all laboratory services assigned by the pathologist directors or the Administrative Laboratory Director. 
  • Performs all other duties as assigned.
