General Summary of Position
This position is responsible for a wide variety of both complex and routine administrative and analytical duties to support the Purchasing and Materials Management functions at MedStar Southern Maryland. Demonstrates the High Reliability Organization (HRO) characteristics of transparency, patient engagement, reporting, teamwork & collaboration, measurement, respect, and support to deliver the highest level of quality and safety to our patients and associates. 


Primary Duties and Responsibilities

  • Performs clerical/administrative tasks to support the efficient functioning of the Materials Management Department (50%)
  • Processes
  • Prepares Invoices for review and approval of the Supervisor or Director.
  • Reviews miscellaneous invoices and documentation for Accounts Payable to process under various cost centers.
  • Compiles and maintains Staff Meeting/Huddle Minutes and distributes them accordingly.
  • Creates requisitions for the Supervisor for any ad-hoc items needed for General Stores or Linen.
  • Daily Receiving data entry and reconciliation.
  • Daily manual issue/return data entry.
  • Provides customer service to internal and external customers to support their Purchasing and Supply Chain needs.  (20%)
  • Offers assistance to internal and external customers on all inquiries.
  • Answers, screens, and responds to all telephone calls on behalf of the department.
  • Provides accurate information and refers internal and external customers to the appropriate staff.
  • Responds timely to email requests and communications in a timely manner.
  • Acts as a liaison between the warehouse and Professional Shared Services.
  • Schedules meetings on behalf of the Director.
  • Acts as a liaison between Corporate Contracting and MSMHC in the review process to access data for the Director. Communicates information received via bulk distribution such as Pillar Talk or Everyone emails by posting when appropriate.
  • Coordinate rush deliveries or Courier Services for internal and external customers.
  • Prepares and communicates the open order/backorder report daily for Supervisor and Director.
  • Assists in acquiring quotations from vendors as requested.
  • Proactively offers assistance and support to MSMHC Directors and Associates regarding purchasing and supply chain processes. (30%)
  • Maintains files on all product recalls / product failures reported through Materials Management and communicates to EOC via tracking log.
  • Coordinates equipment rentals for the end users as needed.
  • Patient Charge Billings for specific rental and or specialty items into Clinician View as needed.
  • Assists Director in Capital Review Process, monthly documentation, and reporting.
  • Evaluates and analyzes items retained at Recall Storage and communicates destruction dates to the end users.
  • Evaluates and analyzes freight spend through the OptiFreight program and G/L freight code.
  • Greets and receives visitors in a professional courteous manner.
  • Liaison between Corporate Vendor Access and the Vendor community validating proper credentials and enforcing the Vendor Access policy.
  • Backup to mailroom for sorting and processing of mail.
  • Organizational knowledge: Works effectively within and between departments
  • Participates on inter-departmental teams and committees, communicating unit knowledge as appropriate.
  • Provides department/unit with information and knowledge acquired during participation with interdepartmental teams and committees.
  • Demonstrates a constructive approach during all interactions with staff, supervisors, and managers both inside and outside the unit.

    Minimum Qualifications
    Education

    • Associate's degree required
    • Bachelor's degree preferred

    Experience

    • 3-4 years of comparable experience in Purchasing or Materials Management in hospital setting preferred
