Overview:

 

Directly responsible for the daily operations and staff supervision of multiple business units or a highly complex site with a large number of providers and staff. Ensures professional and technical operation of clinical unit with high complexity and that all policies and procedures are followed on a day-to-day basis. May supervise other Practice Managers. Responsible for the overall independent management of the business units in accordance with Clinic Initiatives: Physician Satisfaction, Co-Worker Satisfaction, Patient Satisfaction, Quality, and Business Performance. Performs all related duties as assigned. Reports to VP of Operations. Performs duties and responsibilities in a manner consistent with our mission, values, and Mercy Service Standards.


Qualifications:

  • MINIMUM REQUIRED Education: Bachelor's degree or 5+ years clinic management experience. Knowledge of office management and human resource management practices. Knowledge of health care administration principles, CPT and ICD-10 codes. Computer literate.Licensure:Experience: Minimum of two years' experience in clinic management.
  • Other skills & knowledge:Extensive knowledge of managed care billing practices required. Proficient with Microsoft Excel required. Excellent verbal and written communication skills. Excellent communication and interpersonal skills to establish and maintain working relationships with physicians, staff and the public. Excellent organizational skills to meet deadlines in timely manner. Self-motivated. Ability to analyze balance sheets and income statements. Experience in managing accounts receivable.
  • PREFERRED Education: Master's degree preferred.

Key Responsibilities

 

  • Facilitate and manage assigned initiatives and assist in implementing strategic goals and objectives.
  • Support Mercy HaH strategic plans by monitoring progress through appropriate tracking and reporting mechanisms.
  • Completes projects timely and according to parameters and timelines agreed upon by HaH leadership, consistently providing updates

Project Support

      • Strategic oversight of the project locally
      • Assigns/marshals resources for project and/or key events (example: Played a significant role in the Dress Rehearsal; filling key role players)
      • Set goals, timelines, etc.
      • Support Platform Development efforts, including meeting facilitation and platform testing
      • Provides reports and/or updates to stakeholders and executives
  • Originates, facilitates, and leads multi-disciplinary groups to complete plans and projects.

Task Support

      • Schedule meetings (with access to calendars for key attendees to ensure availability and minimize conflicts)
      • Facilitate meetings, i.e., draft agenda, take minutes, and document/circulate action items with owners/deadlines
      • Does the PMing of the teams work (e.g. pharmacy workgroup, technology workgroup, etc.)
      • General administrative support (e.g. printing, building access, event support, room reservations, etc.)
  • Lead and/or coordinate assigned committees, task forces and initiatives.
  • Identifies opportunities for improvement that favorably impact cost and quality
  • Collaborate with cross-functional teams to identify program goals, objectives, and strategies

Operations Support

      • Information and data collection
      • Support of optimization workstreams (e.g. pharmacy, nurse staff meeting, financial reconciliation, data/technology needs, etc.)
      • Assists in developing/ securing HaH solutions (e.g. service contracts, dashboards, tools, resources )
  • Oversee the development and implementation of program tools and reporting mechanisms to monitor logistics and operations
  • Conduct regular evaluations to assess program effectiveness and identify areas for improvement
  • Stay updated on industry trends and best practices to continuously improve program offerings
  • Ensure program compliance with all relevant regulations and standards
  • Prepare reports and presentations on program performance for Mercy leadership and external stakeholders

Documentation Support

      • Document and maintain detailed process-maps and workflows
      • Generate Mercy-specific documentation of “standard work”
      • Meeting documentation
      • Document approval authority

 

  • Foster a positive and collaborative work environment to support the success of the program and its team members

Team Support

      • Provide a Ministry-wide perspective
      • Identify key Mercy stakeholders/SMEs, at both the local level and ministry-wide level
      • Manages organizational interfaces
      • Provide direct-care support to support HaH staffing (e.g. filling in key positions in staffing, assist with cross training coworkers, etc.)
      • Establish ground rules for project team
      • Direct local project team
      • Manage requisitions, hiring, and onboarding processes (in the absence of Maribel access)
  • Represent Mercy and its mission in a professional and compassionate manner at all times
  • Take initiative to identify and pursue new opportunities for program growth and expansion
  • Maintain accurate and up-to-date program documentation and records
  • Handle any program-related issues or concerns in a timely and effective manner
  • Adhere to Mercy's policies and procedures, including those related to safety, confidentiality, and diversity
  • Continuously strive to improve program operations and outcomes to better serve the community
  • Attend relevant trainings and conferences to enhance program management skills

 

 

  •  Ability to travel up to 20% (Mercy facilities and relevant conferences, education partners, etc.)
